Position Summary

We are seeking a Real Estate Administration Manager to serve as a high-level administrative, operational, and coordination support to the Senior Vice President of Real Estate and the broader Real Estate team. This role serves as a critical business partner, ensuring seamless execution of executive priorities, effective team coordination, and efficient management of department operations.

Essential Functions

  • Manage and maintain a complex and dynamic executive calendar, including scheduling appointments, meetings, and business commitments.
  • Carefully coordinate detailed domestic and international travel arrangements, including itineraries, agendas, accommodations, and logistics.
  • Anticipate scheduling conflicts and proactively adjust priorities to support business objectives and executive needs.
  • Ensure executive schedules are effectively managed, prioritized, and executed.
  • Serve as a primary liaison between Executive Leadership (including C-Suite executives) and the Real Estate team, facilitating clear and timely communication.
  • Build and maintain effective working relationships across departments and with key stakeholders.
  • Partner closely with the SVP of Real Estate to ensure awareness of upcoming commitments, deadlines, and strategic priorities.
  • Maintain awareness of action items and follow-up activities to ensure completion and accountability.
  • Coordinate and support internal and external meetings, including agenda development, logistics, and preparation of meeting materials.
  • Develop, edit, and format professional presentations, reports, and other business communications, including PowerPoint presentations.
  • Capture meeting outcomes, maintain documentation, and track follow-up actions to successful completion.
  • Prepare, draft, revise, and manage correspondence and other departmental documentation as needed.
  • Manage global real estate team with constant effective communication.
  • Coordinate activities for a geographically dispersed team, ensuring effective collaboration and communication across locations.
  • Manage hybrid work schedules and support team alignment with organizational objectives.
  • Organize in-person meetings, off-site events, and team-building activities to foster engagement and collaboration.
  • Assist with department planning, special projects, and operational initiatives as assigned.

Education, Skills And Experience Requirements

  • Bachelor's degree preferred or equivalent combination of education and relevant experience.
  • Minimum 5 years of experience providing executive-level administrative support in a corporate environment.
  • Experience supporting senior leadership, preferably within real estate, facilities, operations, or related functions.
  • Exceptional organizational, planning, and time-management skills.
  • Strong written and verbal communication skills with the ability to interact effectively at all organizational levels.
  • Prioritized ability to handle confidential and sensitive information with discretion and professionalism.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
  • Ability to manage competing priorities, meet deadlines, and adapt to changing business needs.
  • Strong attention to detail and commitment to operational excellence.
  • Demonstrated ability to work independently while collaborating effectively within a team environment.

Pay

$70,000 - $80,000 USD Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee’s/applicant’s background, pertinent experience, and qualifications.
