About the role

Daily management of Company facilities in White Plains, NY. Facilities may include regional offices, warehouse space, training center, and airport ramps. Primarily responsible for ensuring efficiency, neat appearance, and full facility functionality by conducting daily floor checks of common areas, conference rooms, and kitchens. Work in conjunction with the landlord, other stakeholders, and local Company leaders to provide vital support for all facilities and building management functions.

Responsibilities

  • Conduct daily floor checks of common areas, conference rooms, and kitchens to ensure efficiency, neat appearance, and full facility functionality; initiate corrective action when deficiencies are identified.
  • Participate in the project development and execution of corporate directives and assigned projects.
  • Serve as the primary point of contact for special events and meetings, including managing catering, set-up, and booking of conference rooms.
  • Act as primary administrator of conference room calendars and schedules; ensure the best and highest use of conferencing resources and limit inefficient use.
  • Collaborate with Property Management to ensure timely, accurate processing of all work orders and monitor for completion.
  • Supervise Regional Office Receptionist, manage their schedule, and provide relief coverage during scheduled breaks.
  • Manage and coordinate temporary reception coverage during planned absences.
  • Oversee and/or perform office management responsibilities, such as ordering/restocking office supplies and shipping supplies to ensure an effective and operational workplace.
  • Respond to employee facilities requests in a prompt and pleasant manner.
  • Ensure compliance with corporate standards for space allocation and functionality.
  • Collaborate with facility maintenance, including dispatching and escorting vendors working in the building.
  • Receive vendor deliveries, sign receiving documents, review invoices, verify services/products, and process for approval.
  • Manage and coordinate internal seating changes, relocations, and new-hire seating, including furniture reconfiguration and cleaning work areas.
  • Provide facility tours and explanations of facility-related issues to incoming employees.
  • Maintain an updated employee location list in the Facilities Database and track Company equipment for assigned locations.
  • Oversee and coordinate off-site archiving.
  • Manage coordinated schedules for mail pick-ups and deliveries, including postage metering where applicable.
  • Action inquiries regarding office shipment status and run tracers as necessary.
  • Perform additional duties as assigned.

Requirements

  • High school diploma required; 4-year college degree preferred, or equivalent relevant experience.
  • Minimum five (5) years of facility management experience.
  • Minimum two (2) years of vendor or people management experience.
  • Certified Facility Manager (CFM) preferred.
  • Some lifting is required.
  • Legally authorized to work in the United States; this position is not eligible for employment visa sponsorship or employer immigration support.

Skills

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Familiar with computerized building and maintenance management systems.
  • Experience with AutoCAD and Bluebeam preferred.
  • Dependability and strong communication skills.
