Key Responsibilities
- Provide assistance in maintaining the Maintenance equipment database
- Track and report short-term / long–term relief lists
- Maintain overtime tracking call out sheets
- Manage / Audit timekeeping database
- Manage Maintenance Compliance Programs
- Maintain Maintenance Document Library
- Oversee KPI Inputs
- Assist in reviewing department spending to budget and recommend cost savings areas if applicable
- Run Maintenance compliance reports and ensure program documents are properly retained
- Continuous Assurance Monitor (CAM)
- Mechanical Integrity (MI)
- Validate completed preventative work packages and maintain the document library
- Validate KPI data sets, generate and post KPI reports
- Monitor, report and challenge cost impacts; 2P, Overtime, etc.
- Support supervisor training; provide guidance to supervisors and managers related to their administrative responsibilities
- Adhere to MSHA safety regulations
- Maintain and update the monthly maintenance and safety records
- Administer the union contract and memorandums
- Provide assistance if required to the Maintenance Supervisors in verifying the accuracy of schedules, time inputs, etc. and SAP, release following validation
- Record maintenance engineering hours for distribution to areas, if applicable
- Track and report all department vacation time
- Maintain employee files and crew list
- Maintain weekend duty lists – hourly and salary
- Maintain radios and weekend phones
- Track short term / long term relief lists
- Align with HR, Safety and WE Soda Medical on department FMLA, STD/LTD, leaves, etc.
- Maintain and input overtime tracking spreadsheet
- Maintain maintenance databases
- Handle hourly inquiries about department administrative processes
- Assist with administering maintenance training program(s)
- Maintain all of maintenance training records
- Maintain the physical library of work release forms
- Maintain the maintenance seniority list and org charts
- Maintain master attendance logs for hourly and salaried employees
- Maintain department ISO 9000 documents
Requirements
- High School Diploma or equivalent
- 2+ years relevant experience preferred
- Proficient in Microsoft Office applications including but not limited to Excel, Word, Teams and PowerPoint
- SAP skills strongly preferred
