Maintenance Recruitment Manager
About the role
We are seeking a Maintenance Recruitment Manager to lead the recruitment of high-quality maintenance professionals across a multifamily housing portfolio. This role is responsible for sourcing, screening, interviewing, and hiring maintenance team members, including Maintenance Supervisors, Maintenance Technicians, Make-Ready Technicians, and Groundskeepers. The ideal candidate has previous hands-on apartment maintenance experience, allowing them to effectively assess technical skills, certifications, and cultural fit. This is a high-impact role responsible for building and strengthening the maintenance talent pipeline, partnering directly with Operations and HR leadership to ensure properties have the skilled maintenance professionals needed to deliver exceptional resident experiences, maintain physical assets, and achieve operational goals.
Responsibilities
- Manage responsibilities related to hiring maintenance personnel in a manner that supports current and future staffing needs.
- Create processes that foster timely movement of recruiting stages to decrease the time frame to fill positions.
- Meet weekly with Director of Property Maintenance and SVP of Property Management to prioritize and rank positions based on portfolio needs.
- Directly recruit, interview, and hire maintenance personnel for at least 50%+ of open maintenance positions across the portfolio.
- Work with KPG Recruiters to assign remaining positions to be sourced by assigned Talent Acquisition Partners.
- Develop and manage proactive recruiting strategies using job boards, industry networks, trade schools, referrals, career fairs, and industry networking events.
- Develop and maintain relationships with technical schools, trade programs, HVAC programs, community organizations, military transition programs, and industry associations to establish sustainable maintenance talent pipelines.
- Develop creative approaches to attract experienced maintenance professionals, including passive candidates who are not actively seeking employment.
- Screen candidates for technical knowledge, troubleshooting ability, customer service skills, and safety awareness.
- Partner with Regional Managers, Maintenance Supervisors, and Corporate Maintenance Team to understand staffing needs, hiring priorities, property conditions, and role expectations.
- Coordinate and conduct interviews and communicate verbal employment offers.
- Work with KPG Talent Acquisition Partners (TAPs) to complete background checks, draft written employment offers, and conduct onboarding activities.
- Build and maintain a pipeline of qualified maintenance professionals for current and future openings.
- Work with SVP of HR to track recruiting metrics such as time-to-fill, candidate quality, and hiring effectiveness.
- Promote the company's culture and career opportunities to attract top maintenance talent.
- Analyze maintenance staffing trends, turnover, market availability, compensation, and hiring challenges to proactively identify workforce needs and recommend solutions.
- Partner with HR and Operations to identify opportunities to develop entry-level maintenance talent into skilled technicians through training, mentorship, and certification programs.
- Help develop a maintenance career path that demonstrates opportunities for advancement from Groundkeeper to Maintenance Tech, Maintenance Supervisor, and other leadership roles.
- Travel to properties in portfolio to understand maintenance needs (20%-30% of the time).
Requirements
- Previous hands-on experience in multifamily apartment maintenance required; minimum 5 years’ experience preferred (Maintenance Technician, Maintenance Supervisor, Facilities Manager, or similar role).
- Experience recruiting or hiring maintenance personnel is required.
- Strong customer service and interpersonal skills.
- Strong time management skills.
- Strong understanding of apartment maintenance operations, including HVAC, plumbing, electrical, appliance repair, and make-ready processes.
- Excellent interviewing, communication, and relationship-building skills.
- Ability to evaluate technical competencies and identify candidates who align with company culture.
- Experience or knowledge using applicant tracking systems (ATS), maintenance work order, unit turn and inspection software (such as Yardi), and Microsoft Office applications.
- Ability to manage multiple openings in a fast-paced environment while meeting hiring deadlines.
Preferred Certifications
- EPA Section 608 Certification (preferred).
- CPO, CAMT, or other multifamily maintenance certifications are a plus.
- Ongoing professional development to stay current with industry trends, technology advancements, and best practices.
Physical Demands
- Rarely must be able to stand, walk, climb, balance, stoop, kneel, crouch, crawl, bend, and lift up to 50 pounds.
- Occasionally exposed to outdoor weather conditions.
- Regularly must sit, talk, and hear.
- Close and distance vision required; color vision is recommended, though accommodations can be made.
Work Environment
- Typically works in an environment with moderate noise.
- Corporate office environment in Indianapolis 3 to 4 days per week; other site visits and networking during non-office days.
- Travel required 20%-30% of the time.
