Maintenance Manager

About the role

The Maintenance Manager oversees daily maintenance operations for Old Greenwood's luxury residential resort community. This role involves leading a team, managing projects, coordinating with various departments, and ensuring guest and owner satisfaction.

Responsibilities

  • Lead, train, and supervise the maintenance team; assign work based on property priorities, guest needs, arrivals, projects, and preventive-maintenance requirements.
  • Coordinate weekend coverage, on-call responsibilities, and emergency response.
  • Review and approve timekeeping, track labor hours, set performance expectations, and hold employees accountable for productivity, quality, safety, and timely completion.
  • Conduct safety meetings, technical training, and team development.
  • Coordinate with the front desk, housekeeping, internal departments, vendors, and the General Manager.
  • Schedule and oversee projects and vendor work, including site access, work requirements, timelines, safety, scope, quality, and completion.
  • Track progress, document updates, verify satisfactory completion, and communicate delays or concerns to management.
  • Monitor labor, material, and project costs and identify budget variances.
  • Provide weekly reports covering: Labor hours and costs, Material purchases and usage, Work-order status, Active and upcoming projects, Vendor schedules and progress, Budget performance and variances, Staffing, scheduling, safety, and operational concerns.
  • Coordinate routine service, inspections, repairs, registrations, and maintenance schedules for company vehicles and fleet equipment.
  • Manage preventive-maintenance programs, review, prioritize, assign, document, and close work orders accurately and on time; monitor aging work orders and communicate completion timelines.
  • Assist with hands-on maintenance and diagnose issues involving plumbing, HVAC, electrical, irrigation, water intrusion, snow conditions, and other property systems.
  • Coordinate qualified vendors for specialized work and support emergency response.
  • Keep maintenance vehicles and equipment clean, organized, inspected, and properly maintained.
  • Maintain accurate inventory of tools, equipment, parts, supplies, and maintenance materials, including appropriate minimum and maximum levels.
  • Maintain accountability for company tools, vehicles, keys, equipment, and other assets.
  • Implement and enforce safety policies, conduct inspections, correct hazards, and ensure proper use of personal protective equipment.
  • Maintain safety documentation, training records, and incident reports.
  • Ensure work complies with applicable regulations, manufacturer requirements, and company standards.
  • Obtain OSHA 10 certification within 90 days of hire if not already certified.
  • Provide courteous, professional assistance to guests, owners, and team members and communicate clearly about maintenance concerns, access, service status, and completion timelines.
  • Coordinate with the front desk and housekeeping to prioritize urgent guest and arrival-related needs.
  • Promptly escalate significant concerns, delays, safety risks, or budget issues to the General Manager.

Requirements

  • Previous maintenance leadership, supervisory, or facilities-management experience.
  • Current COT certification.
  • OSHA 10 certification or the ability to obtain it within 90 days of hire.
  • Working knowledge of maintenance operations, preventive maintenance, work-order systems, scheduling, inventory control, fleet service coordination, and project management.
  • Experience managing labor, materials, vendors, service schedules, project costs, and operating budgets.
  • Valid driver’s license and good driving record.
  • Ability to safely lift, carry, push, or move 75 pounds or more and perform physical work, including standing, walking, climbing stairs or ladders, bending, kneeling, reaching, and working indoors or outdoors in changing weather.
  • Ability to work weekends, holidays, and occasional after-hours or emergency-response shifts.
  • Strong written, verbal, organizational, and problem-solving skills.
  • Basic computer proficiency with email, spreadsheets, scheduling, timekeeping, reporting, and work-order systems.
  • Ability to manage multiple priorities calmly and make sound operational decisions.
  • Professional appearance, dependable attendance, and a guest-service mindset.

Preferred Qualifications

  • Hands-on experience with irrigation, plumbing, HVAC, electrical, carpentry, appliances, and general building systems.
  • Experience in a resort, hotel, HOA, property-management, residential, or luxury-hospitality environment.
  • Experience supervising maintenance across multiple residences or buildings.
  • Familiarity with California workplace-safety and employment requirements.
  • Experience coordinating contractors, managing vendor schedules, overseeing projects, and administering preventive-maintenance programs.
  • Experience managing fleet vehicles, service records, inspections, and equipment maintenance.
  • Additional trade, pool, HVAC, electrical, or facilities certifications.
