Maintenance Clerk
About the role
Procure parts/supplies in line with company policies and standards. Manage daily stock, inventory, and issuance of parts/supplies. Coordinate with vendors to ensure availability of accurate manufacturing part numbers and document them as part of the PM program and procedures. Collaborate with supervisors, managers, maintenance technicians, and employees to ensure consistent availability of common equipment and parts/supplies. Support preventive maintenance activities by issuing parts, consumables, and equipment supplies based on scheduled tasks and work orders. Compile and maintain records of material, equipment, and supply quantities, types, and values for efficient inventory utilization. Conduct periodic inventory audits and reconcile totals in the inventory system to ensure accuracy. Investigate and report discrepancies. Prepare reports such as inventory balances, price lists, and shortages. Create a list of depleted items and recommend surveys for obsolete equipment. Inform supervisors of damaged or missing parts from orders and coordinate with vendors for prompt issuance of credits or replacements. Handle special order parts and maintain a special order file. Keep a backorder file. Maintain a safe, clean working environment and perform housekeeping/organization duties as requested by supervisors. Participate in training sessions as required.
Responsibilities

- Cook with appropriate vendors to ensure accurate current mfg. part numbers are available and documented as part of the PM program and procedures.
- Collaborate with supervisors, managers, maintenance technicians, and employees at all levels to ensure commonality of equipment and parts/supplies are available.
- In concert with Supervisor or Maintenance Coordinator issue parts, consumables, equipment supplies in support of daily/weekly PM’s, Tasks, Work orders based on frequency to optimize effective and efficient planned maintenance activities.
- Compile and maintain records of quantity, type, and value of material, equipment, or supplies stocked for efficient and effective inventory utilization.
- Ensure PM activities with parts usage are consistently and concisely documented.
- Perform periodic parts/supply inventory audits and reconcile totals in the inventory system to ensure system accuracy.
- Investigate and report reasons for discrepancies.
- Compiles information on receipt or disbursement of equipment parts and/or supplies, and computes inventory balance, price, and cost.
- Maintain a parts room with equipment plans, procedures, SOPs, and all other documentation necessary for safe and proper performance of preventive maintenance activities.
- Prepares reports, such as inventory balance, price lists, and shortages.
- Prepares list of depleted items and recommends survey of defective or salvage/scrap items for obsolete equipment.
- Notify Supervisor of any parts that are received damaged or missing from the order, coordinate with vendor for prompt issuance of credit or replacement.
- Receipt in all special order parts.
- Maintain a special order file and notify Supervisor when parts are received.
- Maintain a backorder file.
- Maintain a safe, clean working environment and perform housekeeping/organization duties in the maintenance department as requested by Supervisor.
- Participate in all training sessions as required.
Requirements
- High School Diploma or equivalent.
- Minimum of (3)-three years of purchasing and inventory management experience in maintenance or production environment, preferably in food manufacturing.
- Strong computer skills, Microsoft Office (Windows, Word, Excel), email, general office equipment (scanner/copier/fax).
- SAP experience preferred and have the ability to learn new applications is required.
- Able to work weekends and extended work hours as required.
- Extensive knowledge of industrial manufacturing equipment and components.
- Strong knowledge of maintenance procedures and preventive maintenance process.
- Possess an understanding of OSHA and GMP regulations.
- Strong ability to prioritize tasks in a fast-paced setting.
- Strong interpersonal and communication skills, both written and verbal.
- Extensive planning and organizational skills.
Physical Demands and Working Environment
- Able to lift up to 50 lbs. unassisted on a frequent basis.
- The employee may be exposed to chemicals, wet, hot, humid and cold temperatures, moving machinery including forklift traffic, and noise levels exceeding 85dB.
- Specific vision abilities required by the position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- The employee is regularly required to work in an office, warehouse, and production environment.
- Able to walk, stand, stoop, bend, twist, climb, kneel throughout shift.
Starting Range
$20.91 - $21.41 + $2 Night Shift Differential
