About the Role
This position is primarily responsible for downloading, printing, and preparing documents to be either uploaded into EMSafe or delivered via the US Postal Service. This role also provides backup support for all Mailroom functions.
Responsibilities
- Print items queued for printing
- Prepare printed documents for mail out based on document requirements
- Print and mail out documents requested by clients or patients
- Download correspondence and payments from banking lockboxes
- Upload correspondence and payment documents into EMSafe
- Perform electronic transfer of funds to client bank accounts using bank scanners and iStream
- Respond to emails received via the Mailroom’s email inbox following EMS|MC company guidelines
- Conduct all job tasks, duties, and interactions with professionalism, respect, a positive attitude, and in accordance with company compliance policies and applicable government regulations
- Perform the duties of a Mailroom Specialist I as needed
- Assist in training new hires and cross-training throughout the team
- Create and/or update job aids and SOPs
- Test EMS|MC proprietary functionality as needed
- Perform other necessary tasks as assigned by Shared Services
- Flexibility to work extended hours to support the business as required
Requirements
- High School Diploma
- Strong sense of confidentiality and professionalism regarding financial information, PHI, and employee relations
- Strong sense of teamwork, strong interpersonal skills, and the ability to maintain composure in a fast-paced, high-pressured environment
- Highly organized and able to multi-task with the ability to manage time and prioritize work
- Ability to function well within a cross-functional team setting and independently
- Willing and able to adapt to changes in work environment, procedures, priorities, and job duties
- Detail-oriented, schedule-minded, and highly organized
- Takes initiative and is self-motivated with the ability to lead the team through daily activities without prompting from Supervisor

- Thinks independently and makes decisions regarding work processes using critical thinking and analysis
Preferred Qualifications
- Prior experience in payment handling and/or mailroom or lockbox procedures
- Experience in reconciliation, scanning/imaging, or data entry
- Knowledge of HIPAA requirements and regulations
- Strong and demonstrated proficiency in Microsoft Excel, including the ability to create accurate, working spreadsheets containing formulas
- Working knowledge of RescueNet Billing and EMSafe
Working Environment & Physical Requirements
- General office environment
- Typing, sitting, standing, walking, some light lifting
- Use of basic office equipment such as computer, fax, printer, copier, telephone, scanner
- Some use of postage machine
- Sometimes required to work long hours and weekends without advanced notice
