Think of the Aesthetic Coordinator as the air traffic controller of the studio. You don't run the patient experience from the front — you build the runway that makes it possible. Every provider who performs flawlessly, every tray set before it's needed, every break that runs on time — that's you. Invisible when it works. Irreplaceable when it doesn't. Annual base salary range: $30-35/hour based on experience

Responsibilities

  • Prep and verify all procedure trays with precision and consistency — always ready before they're needed
  • Open and close the studio to standard every shift, including full inventory counts
  • Maintain treatment rooms and the back office to an identical, impeccable standard — room to room, shift to shift
  • Keep the team aligned on daily goals, studio flow, and provider break schedules before the first patient arrives
  • Coordinate provider breaks and lunches so the schedule never stalls
  • Monitor and restock supplies proactively — anticipate before something runs out
  • Maintain accurate patient documentation including charting, before & after photos, and treatment records
  • Uphold every patient's dignity, individuality, and right to exceptional care
  • Support the front desk and concierge experience as needed — checking patients in and out, rooming patients, and stepping in wherever the team needs you
  • Handle special projects as they arise; flexibility is part of the role

Requirements

  • Precision — inventory counts, tray prep, and restocking are exact sciences here
  • Anticipation — you're three steps ahead of the schedule at all times
  • Ownership & Accountability — the state of the studio is a direct reflection of your standard, and you own it
  • Reliability — every provider and every patient depends on you showing up ready
  • Friday and Saturday availability — Full-time and part-time availability will require Friday and Saturday availability. If looking for part-time, we require a minimum of three days a week: Fri/Sat + 1 weekday

Qualifications

  • A calm, kind presence in a fast-moving environment
  • Strong organizational skills and the ability to juggle multiple priorities without dropping the ball (or the tray)
  • Reliability, compassion, and a genuine team-first attitude
  • Flexible availability — full-time or part-time schedules considered
  • Experience in aesthetics or medical settings is a plus — LVN license required
