Lumber Sales Coordinator
Pay: $23.27-$25.51 hourly
About the role
PARR’s Lumber Sales Coordinator executes all aspects of our sales call process and strategies, facilitating and coordinating business activities of accounts and executing PARR sales initiatives. Their primary focus is supporting the sales team by creating quotes, processing orders, and helping to manage construction schedules. The Lumber Sales Coordinator receives daily direction from Lumber Outside Sales Person on the team and reports to the Division Sales Manager.
Interacts daily with General Managers and both internal and external customers. Interacts regularly with corporate employees (Central Purchasing Department, Account Management Team, IT Department, Window Sales, Millwork Sales, Truss Sales). Interacts regularly with vendor representatives and industry associates.
Responsibilities
- Establish and maintain professional relationships with customers
- Communicate with a wide number of customers in the Residential Construction industry, and help to sell and manage the timely flow of building materials to their jobsite
- Expertly use, promote & facilitate PARR Bridge Strategy
- Proactively set, reach for, and meet (or exceed) personal sales and profit goals
- Primary player in deepening customer relationship and scheduling timely material shipments – ensuring account profitability as well as customer satisfaction & loyalty
- Ability to sell on overall quality, value, and service, rather than price
- Precisely and efficiently manage one’s time and prioritize workflow in a fast-paced environment
- Communicate with dispatch to ensure that they are not overpromising deliveries to customers
- Send pictures of returns to dispatch with request for pickup
- Maintain customer profiles in Outlook or CRM to include full name, company name, title, office number, cell number, email, and matrix
- Maintain cleanliness of workspace
- Follow best practices in order entry, setting up deliveries, and all aspects of job
- Walk customer to product in store
- Introduce himself/herself to customer and use customer’s name when possible
- Manage open orders to ensure orders are being invoiced in a timely manner or deleted
- Accurately take in plans and submit details to the MES and/or EWP
- Use DDMS to ensure customer satisfaction
- Follow SPC guidelines and proper GP%
- Complete PO’s on time, confirm confirmation and tie PO to order
- Greet walk-in customers professionally
- Answer phone promptly with professional greeting
- Identify customer’s urgency and complete orders quickly
- Confirm customer’s material needs prior to sending deliveries
- Maintain material specifications for customer PTO’s in customer folder
- Complete quotes and follow up in a timely manner
- Be proactive with customer’s needs
- Maintain a PARR share file for customer plans and take-offs
- Have a high level of follow-through with orders – ensure inventory arrives, communicate with customers, etc.
- Perform other related duties as assigned
Job Knowledge
- Write quotes and orders with a high degree of accuracy and speed
- Write transfers and purchase orders with correct pricing
- Perform simple takeoffs for windows, doors, siding, and other materials
- Regularly attend PK’s and PARR offered classes
- Complete AMT training
- Follow proper material return procedures
- Manage Outlook and personal notebook
- Search inventory and open orders in all yards to meet customer’s preferred option
- Utilize all resources to find solutions
- Follow all AR account and cash handling procedures
- Seek to learn products and their application for end user
- Complete online training as needed
- Understand pricing levels and avoid unnecessary discounting
- Able to seek out product transactions and order history
- Seek substitute products if out of stock
- Report low inventory when needed
- Make outgoing phone calls to prospects regarding business opportunity

- Attend and help perform inventory

- Work to ensure that other divisions of PARR Lumber also get an opportunity to sell each customer materials

- Organize and present PKs to entire team when needed

- Notify customer when product arrives
- Confirm delivery time with customer after scheduled in DDMS
- Write legibly on business logs and other handwritten material
- Respond to voicemails in a timely manner
- Respond to emails promptly and with correct grammar and spelling
- Take ownership and communicate with management when mistakes are made
- Put clear delivery and contact information on orders
- Have relationship with all coworkers and use those relationships to solve problems
- Communicate with operations team about material returns, requirements for them and pictures as appropriate
- Have relationship with vendors and communicate support needed
- Communicate with customers about market changes/conditions
- Professionally manage upset or disgruntled customers
- Inform receiver on status of cancelled special orders or materials to be returned to suppliers
- Bring areas of concern to management’s attention
- Proactively and positively communicate with all audiences
Requirements
- Knowledge of building materials and/or experience in construction industry required
- Strong communication skills both through phone and email
- Proven ability to develop relationships
- Must be able to operate personal computer, smartphone, scanner, and any other equipment necessary for the job
- Ten-key by touch required
- Must be able to type 40+ WPM
- Proficiency in Microsoft Word, Excel, and Outlook
- Ability to speak, write, and read English required
- Ability to execute PLC selling strategies and initiatives
- Ability to achieve sales goals and objectives
- Knowledge of PLC selling principles, practices, and protocols
- Willingness to share department responsibilities to meet deadlines
- High School Diploma or GED equivalent

Working Conditions
This position works at a lumber location at a desk with a computer.
Physical Requirements
- Ability to sit and/or stand for extended periods of time
- Must be able to lift/push/pull up to 50 pounds and carry objects 50 feet
