LTE Public Records Specialist (Madison)
Position Summary
The Records/Forms Management Specialist will coordinate, track and respond to complex public records requests. They will work with program staff to consolidate and collect records, ensuring all records are recorded, collected, and reviewed to meet all required timelines. They will coordinate the proper archiving of files for the public, ensuring sensitive or complex files are provided and appropriately saved and stored. They will provide excellent customer service to both requesters and staff.
Responsibilities
- Coordinate with program staff in the central office and regions to consolidate and collect all records for sensitive and complex public records requests, in conformance with the public records law.
- Independently manage the administrative duties associated with public records requests, to include making copies, updating databases, and creating/sending invoices. Ensure all files deemed sensitive and complex and provided to the public are scanned, saved appropriately, and sent to the Office of Communications staff.
- Independently interpret department public records policies and procedures and work with staff to assure consistent implementation.
- Provide excellent customer service and support to requesters and division staff throughout the process.
Salary Information
This position pays $21.27 per hour and is classified as a Records/Forms Management Specialist in pay schedule and range 07-04. Compensation will be set in accordance with the State Compensation Plan.
Job Details
This is a Limited Term Employment (LTE) position and will not automatically lead to permanent state employment or be entitled to the same benefits as permanent employees.
Special Requirements
- Residency: To be considered for this position, you must be a resident of the State of Wisconsin.
- Background Checks: The Department of Natural Resources conducts criminal background checks on final applicants prior to a job offer.
- Eligible to work in U.S.: Applicants must be legally authorized to work in the United States at the time of hire.
Qualifications
- Experience working independently, setting own priorities and exercising independent judgment
- Experience requiring excellent oral and written communication skills
- Experience requiring attention to detail
- Knowledge of and proficient use of information technology typically used in an office such as Microsoft Word, Excel, Teams, SharePoint, PowerPoint, and Outlook
- Customer service skills
- Experience handling a high volume of work
- Experience interpreting and applying public records laws
- Some post-secondary coursework or 2 years work experience in an office setting
- Experience working with governmental records
- Experience applying the appropriate legal standards to public records requests
- Experience with using Adobe and Adobe features such as the redaction tool
