Job Description
The Logistics & Shipping Clerk I is responsible for outbound shipping activities of the company. They assist in quoting, negotiating, and arranging freight shipments including heavy haul loads as well as coordinate regular warehouse shipping functions including small parcel and LTL.
Essential Duties
- Prepare all material to be shipped by packing, wrapping, and assuring that material is protected for transport.
- Prepare all shipping documents for shipping.
- Verify the correctness of outbound shipments against bills of lading, packing slip(s), invoices, manifests, etc.
- Audit/correct carrier freight invoices and BOL's as necessary for payment.
- Handle claims with freight companies and vendors, and let all appropriate parties know as soon as they become aware of damage to an IE shipment.
- Convey part transfers as requested to any IE facilities and locations taking into account economics and need.
- Supplier Management:
- Assist in negotiating shipping costs and contracts with potential carriers.
- Schedule/coordinate shipments.
- Maintain customer profiles/carrier database to ensure all contact information is accurate and up to date.
- Collect, analyze, and input data from customers for accurate load booking, i.e. pricing, on-time deliveries, customer recommendations, etc.
- Obtain certificate(s) of insurance from carriers – ensure insurance limits meet or exceed load value.

Professional Communication
- Coordinate outbound shipping activities with production, sales, purchasing, or any other IE relevant parties.
- Including notification of when to expect cranes, police escorts, or pilot cars, as well as areas or lanes that need to be cleared in order to facilitate the movement of large loads.
- Verify with customers that their delivery requirements are being met, as well as that they are prepared to receive shipment.
- Aid in resolving customer issues related to freight transportation and communicate to PM’s any changes or updates as needed.
- Monitor shipments up to the point of delivery. Notify the appropriate Project Manager, Sales Rep, etc. of any delays or shipment issues throughout the shipping process.
- Execute needed activities to recover service on potentially late shipments.
- Effectively communicate any variance from original customer requests for delivery.
Crane/Rigging/Lifting
- Operate forklifts to move or hoist shipments from the shipping area to trucks.
- Load trucks using inside cranes and hoists for basic lifts.
- Assist more experienced riggers with more complex lifts.
- Assist in moving buildings from the shop floor to outside areas to be staged.
- Assist with staging cranes and clearing areas for heavy haul equipment to be loaded.
Requirements
- High school diploma, GED or equivalent; or at least two years of shipping and logistics experience; or an equivalent combination of education and experience.
- Ability to read, analyze, and interpret freight quotes, bill(s) of lading, shipping documents, invoices and freight contracts.
- Ability to read, understand and apply standard shipping terms and conditions, DOT regulations and other related shipping/freighting terminology including bid quotes.
- Ability to work effectively with multiple floor leads, project managers, and vendors and develop lasting rapport.
- Ability to address vendor issues and resolve problems in a timely manner.
- Must be able to calculate figures and amounts such as freight quotes and mileage costs as well as multiplication, division, addition, and subtraction.
- Ability to solve complex shipping and logistic problems and deal with a variety of variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Strong problem-solving and organizational skills.
- To perform this job successfully, an individual should have Good PC skills, proficient in Word, Excel, MS Outlook, EPICOR, and other specialized logistics software.
- Must have OSHA Forklift Certification.
- Must possess a valid driver's license.
- Must comply with and follow all IE standards, programs, policies, and procedures as they apply to this position, reports any unsafe condition immediately.
- Must operate and perform job duties in a safe manner.
- Must be able to operate/work safely around machinery/moving equipment.
- Must be knowledgeable of DOT standards and safety protocols.
- Ability to stand for up to 8 hours or more.
- Ability to bend, squat and lift/and or move up to 20 lbs. frequently, lift and move up to 50 lbs. on a fairly regular basis and move up to 100 lbs. occasionally.
