About the Role

Responsible for managing communications and providing administrative support to Loan Officers and Branch Manager in a fast-paced environment. After 6 months, performance will be reviewed to explore the opportunity for a mentoring position to learn the origination side of the business.

Responsibilities

  • Develop all Loan Officer correspondence, including:
    • Manage birthday card database
    • Contact FSBO’s with mailings
    • Develop flyers (e.g., listing and marketing)
    • Order postcards for all appraisals
    • Mail intro letters to all pre-quals
    • Mail thank-you letters to realtors for referrals
    • Manage monthly or quarterly newsletters for Loan Officers (including setup, mailings, and issuing deadlines for material)
  • Distribute Loan Status reports weekly to realtors
  • Email weekly rate sheet to realtor database
  • Call online applicants to obtain missing information
  • Report weekly loan status to customers
  • Follow up with previous pre-qualifications to maintain contact with customers who have not closed
  • Send thank-you letters to newly closed clients
  • Update and maintain closed loan database monthly
  • Attend weekly team meetings and bi-weekly Loan Officer meetings
  • Lock in loans while Loan Officers are in the field
  • Order appraisal and title, and stack files in submission order for all new files (Loan Officer to review before handoff to processor)
  • Manage mortgage returns and top-of-mind communications
  • Track UTCs, closings, and lock expirations to meet deadlines
  • Run credit reports
  • Take loan applications and pre-qualifications
  • Input loan data from start to finish into E3
  • Run loans through various systems
  • Submit loan files to underwriting
  • Perform other duties as assigned

Requirements

  • High School diploma or equivalent (required)
  • College degree (preferred)
  • 1-2 years of administrative support experience
  • 1 year of Mortgage Industry experience (preferred)

Qualifications

  • Willingness to take classes and testing to qualify for Federal/State Loan Officer License within the first 6 months of employment
  • Proficiency in Microsoft Office (particularly Excel & Word) and Windows applications
  • Ability to learn and work with various mortgage computerized applications
  • Excellent interpersonal, oral, and written communication skills (including spelling/grammar)
  • Strong organizational, follow-up, problem-solving, and analytical skills
  • Detail-, task-, and goal-oriented
  • Ability to relate and communicate professionally with all levels of management, internal and external contacts
  • Ability to prioritize and perform multiple tasks in a fast-paced team environment
  • Excellent work ethic with the ability to work independently with little or no supervision
  • Self-discipline, self-motivation, and self-reliance
  • Excellent attendance history

    • BSM/AML: The Basics
    • Marketing Compliance
    • Annual Consumer Complaint Attestation
  • Existing Employees:
    • BSA and AML: Essentials
    • Annual Sexual Harassment Training

Physical Requirements

  • Ability to navigate throughout the building and travel within the community
  • Physically present at real estate and other customer offices for marketing purposes
  • Good hearing and communication skills
  • Good eye-hand coordination and finger movement for computer software use
