About the role
The Loan Documentation Specialist prepares loan documents for all commercial and consumer loans (excluding SBA loans) originated by the Bank. This role interacts with commercial and consumer lenders and loan coordinators from loan approval through closing/funding to ensure approval conditions are met, document content is complete, compliance with federal/state regulations and internal policies, and proper perfection of the bank’s security interest.
Responsibilities
- Coordinate with commercial and consumer lenders and loan coordinators to ensure loan transactions close accurately and timely.
- Review all pre-closing due diligence information gathered by loan coordinators (e.g., title work, flood letters, UCC searches, entity information) to ensure completeness and accuracy.
- Prepare legal loan documents for consumer and commercial loans using LaserPro, ensuring compliance with federal/state regulations and internal policies, and verifying all approval and closing conditions are met.
- Review executed documents for proper signatures and completeness; follow up with lenders/coordinators on missing or incomplete items critical for booking the loan.
- Perfect the Bank’s security interest by recording/filing documents online (or mailing out), including Deeds of Trust, UCCs, NOLs, and acknowledgements.
- Create and maintain physical loan files, including uploading all loan documents and due diligence information into Nautilus (the Bank’s document retrieval system).
- Follow up to obtain outstanding loan documents needed to complete the loan file (e.g., recorded deeds/mortgages, final title policies, signed acknowledgements).
- Monitor monthly reports and prepare UCC continuations timely to maintain the Bank’s security interest.
- Ensure proper customer/collateral information is provided to Loan Administration to facilitate the booking process and maintain accurate system information.
- Assist in resolving documentation questions, concerns, or service issues in a timely, professional, and courteous manner.
- Identify and report all collateral documentation exceptions and obtain proper exception authority approvals as required by Bank policy.
- Complete special projects assigned by management.
Requirements
- Minimum 1-3 years’ experience examining/preparing collateral documentation.
- Experience using LaserPro.
- Knowledge of various collateral types, including perfection requirements.
- Familiarity with legal contracts, the Uniform Commercial Code, regulations governed by the Federal Reserve System, and state/local governing authorities.
Qualifications
- High school education or GED equivalent.
- Excellent written and verbal communication skills.
- Detail-oriented, well-organized, and demonstrates flexibility, versatility, and good judgment.
- Proactive problem-solving attitude, professionalism, and effective communication skills.
- Ability to prioritize workflow and handle shifting priorities.
