About the Role

Loan Administrative Assistants support Officers in managing client relationships and maintaining account files in compliance with bank policies and regulatory requirements. This role involves loan processing, closing, setup, and servicing, including documentation, disbursement, and follow-up tasks.

Responsibilities

  • Maintain professional expertise through training, seminars, and workshops.
  • Uphold confidentiality of customer account information and follow bank policies for inquiries.
  • Perform loan processing, closing, and servicing duties, including:
    • Pulling credit history inquiries and preparing loan documents.
    • Reviewing files for accuracy before and after closing.
    • Obtaining pay-off information and ensuring proper disbursement of checks.
    • Completing loan disbursements accurately and timely.
    • Preparing legal documents to secure liens on collateral.
  • Type and manage correspondence, including memos, letters, and mailings.
  • Organize and maintain file systems, including filing records and routing incoming mail.
  • Answer and screen phone calls, greet visitors, and direct them appropriately.
  • Notarize signatures for loan closings and customer documents.
  • Conduct file research for client meetings or audits.
  • Process loan payments and handle lien requests, releases, and satisfactions.
  • Request financial updates, reports, and tax filings from borrowers.
  • Manage loan exceptions and communicate with loan officers as needed.
  • Prepare and distribute outgoing mail, emails, and faxes.

Requirements

  • Associate’s Degree in a business-related field, plus bank-related and secretarial training; or
  • 3–4 years of related experience and/or training; or
  • Equivalent combination of education and experience.
