About the role
The Project Coordinator will directly interact with various departments and teams to ensure the timely and accurate execution of projects and orders. Key responsibilities include managing equipment availability, coordinating subrentals, and populating and managing orders in PRG's Asset Management System (AMS).
Responsibilities
- Ensure all impacted departments are informed of project requirements and updates.
- Confirm equipment availability and define alternatives for unavailable equipment (substitutions, transfers, subrentals, and purchases).
- Provide regular updates regarding equipment to Project Managers and Account Executives.
- Manage data in AMS, ensuring project data is always up-to-date and accurate.
- Identify opportunities to capitalize on value-added expertise and non-core services.
- Coordinate and track non-core rental fulfillment.
- Schedule necessary prep with appropriate Branch locations.
- Communicate Scope of Work and other relevant project data to Crew Chiefs and Prep Crews.
- Attend prep at Branch location to oversee execution.
- Maintain communication with Project Manager and/or Account Executive about schedule delays.
- Confirm logistics arrangements, including truck manifests and delivery details.
- Aid in financial reconciliations, project closeouts, and resolving billing discrepancies.
- Participate in continuous improvement projects and updated processes.
Requirements
- Excellent verbal and written communication skills.
- Strong organization and time management skills.
- Ability to handle multiple projects simultaneously.
- Knowledgeable within at least one product discipline and exposure to others (Audio, Camera, LED, Lighting, Rigging, Video, and Labor).
- Ability to read and interpret technical drawings.
- Experience meeting client requirements while managing budgets.
- Working knowledge of equipment used in entertainment production.
- Advanced knowledge of Microsoft Office Suite and Salesforce.
Qualifications
- High School Diploma or equivalent experience.
- 2+ years experience in technical production, operations, or rental inventory management within the entertainment industry.

Pay
$60,000 - $65,000 base salary range, with actual salary determined by experience, knowledge, skills, and abilities combined with location and market data.
Schedule
Reports daily to a Branch location.
