Essential Functions
- Coincide and oversee the co-op and condo board application process from start to finish, including assembling, reviewing, submitting, and tracking board packages
- Create, prepare, organize, and disseminate transaction-related papers, including leases, riders, disclosures, compliance forms, exclusives, and other client-related agreements and documentation
- Maintain and update listings, open houses, and associated marketing materials through company systems and platforms
- Organize and coordinate photography, floor plans, virtual staging, staging consultations, and other vendor appointments linked to listings
- Upload listing photos and provide assistance with online listing management
- Prepare and present listings to prospective clients
- Run client credit reports and offer assistance with transaction-related paperwork and due diligence
- Support in preparing, formatting, and producing marketing and presentation materials for client meetings, pitches, and prospecting opportunities
- Schedule meetings, appointments, and calendar coordination for the Agent/Team
- Act as a primary point of contact for buyers, sellers, attorneys, management companies, vendors, and other parties involved in transactions
- Facilitate strong working relationships with clients and vendors while delivering exceptional customer service
- Respond to client inquiries in a professional, timely, and solution-oriented manner
- Act as a liaison between the Agent/Team and internal departments, including Marketing, Listings, Administration, and Operations
- Provide high-level administrative support, including preparing correspondence, handling mailings, copying/scanning documents, and maintaining organized files
- Afford strict accuracy, consistency, and quality control across all work products, listings, and client-facing materials
- Greet clients and visitors in a professional and welcoming manner
- Assist with special projects and additional administrative tasks as needed
Requirements
- Licensed New York Real Estate Salesperson or Associate Broker preferred
- Professional, polished, and courteous demeanor with exceptional communication, interpersonal, and customer service skills
- Strong organizational and time-management abilities with the capacity to manage multiple priorities and meet deadlines in a fast-paced environment
- Able to maintain strict confidentiality and handle sensitive information with discretion
- High level of proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and PDF software
- Quickly learn and effectively utilize company systems and platforms, including reSOURCE/Listing Systems, Board Packager, CRM platforms, and Canva
- Detail-oriented with strong follow-through and problem-solving skills
- Minimum of 1 year experience
