About the Role

To provide data and partner management for the VANTAGE-Momentum program. VANTAGE and Momentum works with over 1,300 community volunteers each year and, starting in 2026-27, over 1,200 students. The Office Assistant ensures all VANTAGE-Momentum stakeholders enjoy a positive experience and provides office administrative leadership for the program, including leadership, instructors, and students.

Responsibilities

  • Process data to generate reports, identify errors, and improve efficiency using tools, applications, and other resources.
  • Generate, process, and analyze data from Skyward, survey responses, forms, application reports, and various spreadsheet requests. Utilize survey information to present data in digestible, graphic formats.
  • Provide hardware/software configuration, setup, and daily computer support for students and staff.
  • Manage and improve logistics for events and other aspects of VANTAGE-Momentum to accommodate program growth.
  • Provide customer service and administrative support as the first point of contact for students, staff, teachers, guest instructors, and visitors.
  • Define, support, and implement communications strategies for program needs, including events, volunteer recruitment, and partner engagement.
  • Manage logistical, transportation, and other aspects of VANTAGE-Momentum events (e.g., Mentor Kickoff, Registration, HR Day, Shark Tank, Graduation, Mentor Appreciation).
  • Oversee the VANTAGE and Momentum budget, including expense reports, invoices, billing, coding, and supplies.
  • Create and manage databases (guest instructors, site visits, mentors, alumni).
  • Coordinate transportation for all operations, including daily buses, event/site visit buses, and student parking permits/tickets.
  • Purchase and maintain inventory of building supplies and materials.
  • Request repairs for computers, copy machines, technical equipment, and building maintenance.
  • Perform other duties of a similar nature or level.

Requirements

  • High-level skill using Excel to manage and manipulate large data sets.
  • Experience with CRM software, including preparing and importing data from other sources.
  • Extensive computer experience with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Docs.
  • Ability to create and refine visual communications (e.g., Google Slides presentations).
  • Willingness to become proficient in multiple digital platforms (e.g., School Messenger, Schoology, Raptor, Google Office, Canva).
  • Excellent scores on skills performance tests.
  • Ability to maintain confidentiality.
  • Strong organizational skills.
  • Excellent human relations and customer service skills.
  • Flexibility to adapt to changing priorities in a fast-paced environment.
  • Typing skills of at least 50 WPM.
  • Ability to work with frequent interruptions, adjust to shifting priorities, and initiate tasks with minimal supervision.
  • Strong problem-solving skills to analyze and address various situations.
  • Experience monitoring and maintaining budgets.
  • Ability to prioritize and handle multiple tasks simultaneously.
  • Strong verbal, written, and interpersonal communication skills.
