About the role
A highly respected boutique California law firm specializing in commercial real estate, landlord representation, and civil litigation is seeking a Legal Secretary to join its remote team. This is an excellent opportunity for an experienced legal professional who is highly organized, responsive, and comfortable supporting attorneys handling sophisticated commercial landlord-tenant and litigation matters.
Responsibilities
- Provide day-to-day administrative and litigation support to attorneys handling commercial real estate and civil matters
- Maintain attorney calendars and track hearings, filing deadlines, discovery dates, depositions, and other critical case milestones
- Prepare, format, proofread, revise, and organize correspondence, pleadings, notices, motions, and other legal documents
- Coordinate electronic filing and service of court documents
- Maintain accurate and organized electronic client and matter files
- Communicate professionally with clients, opposing counsel, court personnel, vendors, and other outside parties
- Schedule hearings, depositions, client meetings, mediations, and other case-related events
- Coordinate document execution, service, and delivery
- Monitor incoming correspondence and ensure attorneys are aware of time-sensitive matters
- Assist with opening and closing matters and maintaining current case information
- Support trial, hearing, and deposition preparation as needed
- Help attorneys stay ahead of deadlines through proactive follow-up and strong attention to detail
- Handle confidential client and firm information with professionalism and discretion
- Collaborate closely with attorneys and staff in a fully remote environment
Requirements
- 3+ years of Legal Secretary, Litigation Secretary, Legal Assistant, or comparable law firm experience
- Recent experience working within a law firm
- Strong calendaring and deadline-management skills
- Experience preparing, formatting, and proofreading legal documents
- Familiarity with court filing and e-filing procedures
- Excellent written and verbal communication skills
- Strong Microsoft Office proficiency
- High attention to detail and accuracy
- Ability to prioritize multiple matters and deadlines independently
- Professional judgment and discretion when handling sensitive information
- Strong technology skills and ability to work effectively in a fully remote environment
- Reliable, responsive, and proactive work style
Preferred Qualifications
- Commercial landlord-tenant experience
- Unlawful detainer experience
- Civil litigation experience
- Commercial real estate experience
- Experience supporting attorneys through hearings, depositions, mediation, or trial preparation
- Familiarity with California state court filing procedures
- Experience working within a boutique law firm
- Prior experience supporting multiple attorneys

Pay
Competitive base salary of $65,000-$80,000, depending on experience.
