About the Role
A Legal Practice Assistant position in our Nashville, TN office. The successful candidate will work independently, maintain confidentiality, demonstrate professionalism, and support multiple timekeepers daily while delivering excellent work and superior service to the firm and its clients. This role requires a team player who can accept constructive feedback and thrive in a fast-paced environment. Corporate, litigation, and family law experience is beneficial.
Responsibilities
- Schedule and organize meetings, events, and conference calls, acting as the liaison between multiple internal departments, including reserving conference rooms, arranging catering or refreshments, and coordinating IT support and equipment.
- Arrange travel itineraries and all related correspondence as needed.
- Draft and proofread contracts, pleadings, and other written materials with attention to detail, using professional and technical writing skills.
- Maintain schedules and calendars for attorneys, ensuring organization and timely updates.
- Provide daily administrative and clerical support to assigned attorneys.
- Utilize a document management system for electronic and paper file maintenance and organization.
- Analyze correspondence and save key documents and emails using a standardized naming convention.
- Establish and maintain positive business relationships with clients, attorneys, paralegals, and staff.
- Perform a variety of new client/new matter tasks, including preparing electronic expense reports.
- Proofread, format appellate briefs, and perform cite-checking.
- Redline documents using comparison software.
- Research information requested by attorneys and/or paralegals.
- Present information and respond to questions from managers, clients, and timekeepers in a professional and timely manner.
- Maintain complete confidentiality of client matters through demonstrated diplomacy and discretion.
- Contribute to a team environment and assist with backup duties for other team members.
- Enter attorney time as required.
Requirements
- High School Diploma or GED equivalent; bachelor’s or associate degree preferred.
- Minimum of 5+ years’ experience as a corporate and litigation legal assistant.
- State and Federal electronic court filing experience required.
- Experience in family law is a plus.
- Experience with iManage, NetDocs, or other document management systems preferred.
- Ability to work independently and collaboratively, with demonstrated judgment in seeking assistance when needed.
- Strong ability to comprehend details and work at a fast pace with a high degree of accuracy.
- Flexibility to work assigned schedule with overtime as required to meet business needs.
- Solid time management and organizational skills.
- Excellent communication, grammar, proofreading, and typing skills with a strong emphasis on accuracy.
- Proficiency in MS Suite products, including advanced proficiency with MS Excel preferred.
- Experience with electronic filing and organization using a document management system.
