The Legal Operations Specialist will support the optimization, administration, and continuous improvement of legal technology systems and operational processes. This role serves as a key connection point between business users, technology teams, and external vendors to ensure efficient issue resolution and system performance.

Accountabilities

  • Contribute to the effective management and enhancement of legal applications by supporting users, improving workflows, and coordinating technology initiatives.

  • Manage incoming application incidents and service requests, providing Tier 1 and Tier 2 support while coordinating escalated issues with internal teams, vendors, and business stakeholders through resolution.

  • Own the lifecycle of automated workflows, task triggers, and document templates by gathering requirements, configuring solutions, coordinating testing, and supporting production releases.

  • Analyze system upgrades and new features, execute regression and functionality testing, and document results to ensure operational readiness.

  • Support change management efforts by creating and maintaining knowledge documentation, process guides, and training materials.

  • Deliver end-user training sessions in both virtual and in-person settings, helping teams understand system functionality and adopt improved processes.

  • Gather feedback from users and leadership to identify opportunities for workflow improvements, system enhancements, and operational efficiencies.

  • Manage user access administration and ensure appropriate role-based permissions across legal technology platforms.

  • Assist with project coordination activities, including requirements gathering, meeting preparation, documentation, presentations, and tracking deliverables.

  • Develop and maintain business requirements documents, use cases, and system specifications for enhancements, upgrades, and support initiatives.

  • Partner with stakeholders to evaluate business needs, recommend solutions, and support continuous improvement initiatives.

  • Occasionally travel for business needs, including potential overnight or air travel, representing approximately 10-15% of work time.

Requirements

  • Experience supporting business applications, improving operational processes, and collaborating with technical and non-technical teams.

  • Strong communication skills, problem-solving ability, and familiarity with legal technology environments.

  • College degree preferred, or 3+ years of experience in legal technology, operations, Salesforce, Litify, or related business systems environments.

  • Experience supporting legal operations, insurance defense, staff counsel environments, or similar professional services settings is a plus.

  • Proficiency with Excel and Salesforce required; experience with Litify administration, automated task workflows, and document template creation preferred.

  • Strong understanding of application support processes, business analysis concepts, and software development lifecycle practices.

  • Ability to troubleshoot issues independently, apply sound judgment, and determine when escalation is needed.

  • Excellent organizational and prioritization skills, with the ability to manage multiple projects and deadlines effectively.

  • Strong written and verbal communication skills, including the ability to document processes and explain technical concepts clearly.

  • Comfortable facilitating meetings, gathering requirements, and collaborating with cross-functional teams.

  • Experience delivering user training and translating system functionality into practical business solutions.
