About the role
Manage calendar of attorney and coordinate conference calls, depositions, mediations, etc.
Open new matters in internal software.
Follow up with clients to ensure all claim materials have been received.
Ensure compliance with client procedures in general communications.
Answer and direct phone calls.
Review outgoing correspondence for grammar and consistency.
Track deadlines and document completion, prompting staff as necessary.
Aid attorney with preparing draft pleadings and discovery.
File documents through various courts including Florida E-Filing Portal and United States District Courts.
Manage mail receipt, scanning, and distribution.
Draft cover letters and other correspondence as directed.
Handle all outgoing mail needs of attorney.
Document interoffice and external communication appropriately.
Provide copies of pleadings and correspondence to clients.
Aid billing department with processing firm invoices.
Process third-party invoices according to firm guidelines.
Operate basic office support functions such as scanning, printing, and faxing.
Perform other duties as necessary.
Qualifications
- Proficiency in Microsoft Word, Excel, and Outlook; knowledge of ProLaw is a plus.
- Strong organization and communication skills.
- Meticulous attention to detail.
- Dependable with respect to confidentiality and policies.
- Typing skills.
