Position Summary
The legal assistant is a vital contributor to our legal teams. In this role, you will support the delivery of quality legal services to our clients by providing administrative and secretarial assistance to attorneys.
Responsibilities
- Provide excellent service to internal and external customers.
- Prepare routine correspondence, memoranda and legal documents including but not limited to pleadings notebooks, indexes, and exhibits.
- Accurately file court documents electronically and in document form and be able to determine and follow any local or judge specific requirements related to same.
- Anticipate the needs of assigned attorneys in order to promote timekeeper efficiencies (i.e., drafts correspondence, prepares shell pleading and discovery documents in advance).
- Accurately proofread all documents to ensure accuracy and completeness prior to distribution or filing.
- Accurately prepare and submit client intake forms.
- Establish and maintain appropriate files and records.
- Maintain control files of matters in progress and follows up to ensure that court ordered actions are competed.
- Utilize standard naming and profiling conventions when scanning, emailing and saving documents to the document management system.
- Periodically request pre-bills and statements for billing purposes and prepares statements for signatures and send out.

- Coordinate arrangements for meetings (i.e., depositions, mediations, interviews, etc.) and attorney travel.
- Aid in completing and tracking CLE compliance, presentations, and training programs, and organizing all other non-billable activities.
- Answer telephone, take messages, provide information, and receive information concerning matters related to the legal work handled by the assigned attorneys.
- Prepare and send faxes, documents, mail, certified mail, overnight mail, FedEx packages and interoffice mail.
- Must have the ability to master skills specific to the assigned practice group including such tasks as correspondence, spreadsheets, minutes, reports, and other documents.
- Provide assistance to legal and non-legal personnel as requested.
- When applicable, serve as a Notary Public.
- Other duties as assigned.
Requirements
- A high school diploma; bachelor’s degree preferred.
- Prior experience as a legal assistant required; Litigation experience strongly preferred.
- Demonstrated knowledge of legal terminology, legal documents and legal processes in litigation.
- Advanced computer skills including knowledge of MS Word, Outlook, Excel as well as document management systems, e-Filing and database software; NetDocs experience strongly preferred.
- Ability to learn and adapt to new software programs.
- Excellent oral and written communication skills.
- Accuracy, attention to detail and good organizational skills.
- Ability to work effectively and proactively under pressure in a fast-paced environment.
- Ability to coordinate multiple tasks concurrently and to meet deadlines.
