About the role

The Legal Assistant position at Boies, Schiller & Flexner LLP provides secretarial and administrative support to assigned attorneys. This role requires advanced secretarial skills, extensive experience, and strong judgment. The ideal candidate will support four or more attorneys and manage their calendars, meetings, and travel arrangements.

Responsibilities

  • Maintains strict confidentiality with all matters and information.
  • Displays strong attention to detail.
  • Responds to requests with a sense of urgency and effectively prioritizes work.
  • Proactively monitors deadlines.
  • Manages billing, attorney time entry, expense reporting, and reimbursements.
  • Covers for attorneys during absences and handles tasks independently.
  • Schedules appointments and maintains attorney’s calendar.
  • Coordinates complex calendars, meetings, and travel arrangements.
  • Coordinates administrative support for trials, arbitrations, or client meetings.
  • May perform legal research and document review as requested.
  • Coordinates outgoing mail and/or deliveries.
  • Maintains client and administrative files in an organized manner.
  • Handles telephone inquiries independently, providing information to clients or other callers or routing them to the appropriate person.
  • Sorts, reads, and annotates daily incoming mail; attaches appropriate file to facilitate action; determines routing and required signatures; independently prepares routine correspondence for attorney’s signature and maintains attorney’s docket.
  • Coordinates travel arrangements and prepares travel/entertainment expense reports based on attorney’s receipts and itinerary.
  • Composes correspondence, memoranda, and drafts of routine documents for attorney’s review and signature as directed by the attorney and occasionally on own initiative.
  • Operates computer equipment in performance of daily duties; effectively uses various software applications necessary to perform required job duties.
  • Acts as a liaison between attorneys and clients, handling correspondence and scheduling appointments.
  • May perform additional administrative tasks as assigned.

Qualifications

  • Associate’s degree (A.A.) or equivalent from a two-year college or technical school and at least three years legal secretarial experience, with at least two years litigation experience preferably in a law firm or other comparable combination of experience and education.
  • At least three years of legal assistant experience.
  • Excellent interpersonal skills for interactions with all levels of Firm personnel, clients, and vendors.
  • Strong organizational skills and attention to detail.
  • Excellent proofing and communication skills (oral and written).
  • Demonstrated interpersonal skills with the ability to work independently and as part of a team.
  • Bilingual a plus (Portuguese, Spanish or Russian preferred).
  • Advanced with technology, proficient in MS Word, 70 wpm typing speed, and thorough knowledge of preparation and editing Table of Contents and Table of Authorities.
  • Knowledge of Westlaw and Lexis helpful.
