About the role

The Leasing Manager (LM) is responsible for leasing apartments, retaining residents, marketing the property, and handling administrative and financial duties for the assigned property. The LM oversees the property in the absence of the Property Manager or Assistant Manager and serves as a role model to peers. This role involves assuming greater responsibilities as knowledge of property management grows and demonstrating maturity and good judgment.

Responsibilities

  • Perform all tasks related to renting apartment homes, including generating traffic, responding to inquiries, touring prospective residents, qualifying prospects, and closing sales by obtaining rental applications and deposits.
  • Visually inspect the entire property (office, models, compactor, vacant units, and amenity areas) daily for cleanliness.
  • Process rental applications, obtain required documents, schedule move-ins, and prepare all lease file documents.
  • Maintain lease files per policy and procedure.
  • Accurately record traffic from all sources daily and convert a minimum of 30% of total traffic to leases.
  • Process resident move-outs, including reviewing lease terms, applying deposit and lease cancellation fees, and handling dispositions per legal requirements.
  • Follow company procedures for evictions, including proper notice requirements, court representation, and eviction proceedings.
  • Ensure marketing efforts succeed by tracking traffic, reviewing ads, and developing potential leads.
  • Perform light maintenance tasks such as picking up trash, operating the trash compactor, carrying cleaning supplies, and preparing apartments to resident-ready standards.

Office and Administrative Responsibilities

  • Document occurrences requiring managerial attention and report emergencies to the Area Vice President.
  • Record resident service requests in detail to assist the service team.
  • Schedule and inspect apartments for turnkey service.
  • Receive and acknowledge resident notices and prepare files.
  • Assist in the lease renewal procedure by contacting residents, sending renewal letters, and typing new leases.
  • Assemble move-in packages and keep market surveys of competitor rates updated monthly.
  • Visit competitors at least every six months.
  • Maintain current filing and schedule guest apartment and clubhouse rentals.
  • Operate the office alarm system and deliver thorough move-in presentations to new residents.
  • Complete all required RAM training within specified time frames.

Financial Responsibilities

  • Review monthly financial reports and supporting data with the Property Manager.
  • Maximize gross rent and minimize vacant and delinquent rent loss.
  • Calculate daily rent, prorate charges, late fees, and percentages.
  • Collect, date stamp, and bank stamp all rent checks daily and make deposits.
  • Notify residents of returned checks and follow up on collections.
  • Monitor cash receipts and complete move-out statements for past residents weekly.
  • Input payables and send to accounting weekly.
  • Turn over collection files every 30 days and monitor payment plans.
  • Ensure all reporting is accurate and completed on time in the Property Manager’s absence.

Customer Service Responsibilities

  • Communicate clearly to residents, both verbally and in writing, using proper grammar and spelling.
  • Promote resident satisfaction and retention by responding to complaints and requests in a timely manner.
  • Deliver packages, newsletters, and correspondence to residents’ apartments.
  • Coordinate, set up, attend, and clean up after resident functions.
  • Maintain a clean and neat personal appearance per company policy.
  • Demonstrate customer service skills by treating all individuals with respect and responding sensitively to concerns.

Leadership Responsibilities

  • Act as the on-site manager in the absence of the Property Manager by organizing daily work, coordinating maintenance tasks, and managing property operations in compliance with company policies.
  • Motivate leasing consultants and provide consistent verbal and written feedback.
  • Train and develop subordinates through on-the-job training and scheduling company training.
  • Assist in managing client/owner relationships by meeting with owners, conducting property tours, and providing performance updates.

Requirements

  • Excellent written and verbal communication skills.
  • Bilingual abilities (written and verbal) may be required based on property needs.
  • Computer software experience with MS Word, MS Excel, MS Outlook, YARDI®, and E Site.
  • Basic understanding of Landlord/Tenant laws, GAA Lease and Addendums, Fair Housing/ADA regulations, OSHA & EPA requirements.
  • High school diploma required; college degree preferred.
  • Four years of prior experience in property management or a related industry preferred.
  • Experience with tax credits required.
  • Valid driver’s license and current automobile insurance.

Preferred Qualifications

  • CPM® or ARM® designation preferred; may be required to become certified within six months of employment.
  • Ability to earn future industry designations as required.

Physical Demands and Work Environment

  • Sedentary work typically in an office or outdoor environment.
  • Occasionally lift and carry up to 25 pounds.
  • Occasionally stoop, crouch, reach, and stand.
  • Frequently walk, talk, hear, and see with close visual acuity.
  • Repetitive motion for keying data.
  • Walking and driving a golf cart on the property may be required.
  • Driving to client and/or corporate locations is sometimes required.
