About the Role
We are seeking a dedicated Fiscal Specialist to join our non-profit organization and support our operations. The ideal candidate will have a keen eye for detail, excellent organizational skills, and a strong understanding of Head Start and Early Head Start principles. This role also encompasses Center Manager responsibilities.
Responsibilities
- Hold weekly touchpoints with center directors, support their needs, and resolve any concerns.
- Manage fleet vehicles for each center, including scheduling regular maintenance and inspections.
- Oversee the onboarding process for new employees, including technology acquisition and repairs, badging, and required trainings.
- Review center practices and procedures to ensure compliance with Head Start & Early Head Start.
- Communicate inventory and supply needs for centers to maintain daily compliance to Assistant Grant Director weekly.
- Track staff attendance and report absences to Assistant Grant Director in weekly reporting.
- Monitor and track technology in need of repair or replacement.
- Review, organize, and purchase janitorial, building, and programmatic supplies.
- Monitor and track time and effort reports to ensure compliance with grant requirements.
- Manage and track Center Director requests and needs, communicating them to the Fiscal Specialist weekly.
- Process purchase requests within a 48-hour turnaround.
- Develop operational procedures, implement strategic initiatives, and complete projects impacting local programs and the company’s business objectives.
- Maintain contracts for all utilities, communications, storage, cleaning service, trash removal, and building maintenance.
- Oversee all maintenance for buildings and grounds of each location.
- Ensure compliance with municipal ordinances, state licensing laws, and federal standards.
- Respond to all emergencies and act as an emergency liaison with municipal departments.
- Acquire fire permits and ensure building occupancy requirements are met.
- Arrange for well water testing and maintain records and chemicals for safe operation of well water, if applicable.
- Supply direct support labor for all locations.
- Search for new buildings and opportunities for business expansion, when applicable.

- Report suspected child abuse/neglect to administrator and law enforcement agency.
- Abide by all INK policies and procedures, DFPS, and OHS regulations and standards.
- Work as a team player and attend all mandated trainings.
- Ensure all areas are safe and clean.
- Maintain training hours and documentation as required.
- Show competency, good judgment, and self-control in working with children.
- Gain and use knowledge and awareness of all referral procedures.
- Gain and use knowledge and awareness of all State Minimum Standards and Guidelines for Day Care and other federal regulations.
- Acquire and maintain up-to-date training/certification in CPR and First Aid.
- Perform all other duties as assigned.
Requirements
- Proven experience (minimum 2 years) in management or leadership roles.
- Preferred experience in non-profit management, federal and state budgets, and fiscal management.
- Proficiency in Microsoft Excel and other Microsoft software.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and accuracy in data entry.
- Ability to prioritize tasks and manage time effectively.
- Understanding of non-profit financial reporting requirements.
- Familiarity with grant management and compliance.
- Strong communication skills, both verbal and written.
- Ability to work independently and as part of a team in a fast-paced environment.
- Must be able to pass a background check and have a valid driver’s license.
- Must maintain confidentiality.
- Able to lift/move heavy and/or bulky objects weighing up to 75 lbs.
Qualifications
- Preferred experience in creating detailed reports and leading scheduled audits of center locations.
- Ability to liaise on behalf of the company to federal and state partners to speak on reports as needed.
- Pass physical examination, background check, and fingerprinting screen.
