Responsibilities

  • Order lab supplies, assist with inventory, and restock.
  • Work with the leadership team (lab manager, supervisors, and team leads) to gather information regarding lab needs, ordering, and maintenance requests.
  • Manage vendors and third parties by coordinating services, certifications, and inspections.
  • Purchase supplies and assist with send-outs.
  • Schedule and attend meetings, assist with quality assurance (QA), and track receipts for purchasing cards.
  • Sort mail, assist with deliveries, and perform other duties as needed.

Requirements

  • Knowledge of ordering systems, preferably SAP.
  • Experience working with vendors and service representatives.
  • Advanced Microsoft Office proficiency, especially Excel (formulas, pivot tables, data cleanup, basic analysis), plus strong use of Outlook, Word, Teams, and SharePoint for workflow coordination.
  • High organizational discipline to manage calendars, documents, priorities, and competing deadlines with structure and consistency.
  • Initiative and self-direction to spot gaps and solve problems proactively.
  • Proactive ownership, including taking charge of situations, following through without reminders, and keeping others informed.
  • Clear communication skills to reduce confusion and keep processes moving.
  • Process-minded thinking to create checklists, improve workflows, and build repeatable systems.
  • Attention to detail and pride in completing tasks.
  • Ability to multitask and shift priorities in a fast-paced environment.
  • Proactive, can-do attitude with a focus on positivity and solutions.
  • Proven track record of managing administrative tasks in a fast-paced environment and the ability to self-manage.
  • Ability to prioritize and go the extra mile when needed.
  • Excellent presentation skills and ability to prepare materials for meeting agendas.
  • Ability to meet physical requirements of working in a lab, including:
    • Standing and sitting for extended periods.
    • Use of hands, fingers, and arms to handle tools and controls.
    • Occasional climbing, balancing, stooping, kneeling, crouching, or crawling.
    • Lifting up to 25 lbs.
    • Specific vision abilities: close vision, color vision, depth perception, and ability to adjust focus.
  • Potential exposure to biohazards, agents known to cause zoonotic diseases, and hazardous chemicals.

Schedule

  • Full-time, benefitted position.
  • Hours: 9:00 AM – 5:30 PM, Monday through Friday.
  • On-site position; applicant must be able to work in the lab during scheduled hours (not hybrid or remote).
  • Hours may vary based on lab needs (e.g., meeting vendors outside of standard hours).
  • Reliable attendance is essential.

This position is located in our Louisville, KY lab.
