About the role
The Inventory Specialist plays a crucial role in supporting the sales team and client experience by managing the organization, accuracy, and maintenance of all sample inventory and stockroom operations. This position requires a proactive, detail-oriented individual who can self-manage, adapt to shifting priorities, and contribute to overall showroom success.
Responsibilities
- Maintain a highly organized, accurate, and up-to-date stockroom of fabric, wallpaper, leather, finish, and material samples across all vendors.
- Ensure all samples are clearly labeled, categorized, and stored according to showroom standards for efficient retrieval.
- Track the movement of samples (incoming, outgoing, and in-use) to maintain real-time inventory accuracy.
- Conduct routine and monthly inventory audits to verify quantities, condition, and availability of all materials.
- Identify and remove damaged, outdated, or discontinued samples, coordinating replacements where needed.
- Continuously improve organizational systems to enhance efficiency and usability for the sales team.
- Accurately pull and prepare sample requests for clients and sales representatives with a high sense of urgency.
- Package samples with attention to detail, ensuring they meet presentation and brand standards.
- Manage daily shipping operations via preferred carrier, including label creation, tracking, and documentation.
- Maintain a sufficient level of product knowledge to assist in showroom activities as needed.
- Maintain accurate digital and/or manual inventory tracking systems.
- Generate regular reports on inventory levels, usage trends, and replenishment needs.
- Assist in tracking and ordering showroom supplies and Showroom installations.
- Communicate professionally with vendors regarding orders, discrepancies, and product updates.
- Apply basic mathematical skills and utilize measuring tools (ex: hammers, levels, tape measures) as needed.
- Maintain a clean, organized stockroom.
- Ensure the showroom floor is client-ready and aligned with brand standards daily.
- Install and merchandise new samples and collections in the showroom library and sales floor according to merchandising guidelines.
- Assist with showroom resets, seasonal updates, and product rotations.
- Operate facility equipment as required and assist with staging and movement of furniture, rugs, and accessories.
- Partner with sales and merchandising teams to maintain presentation standards.
- Help coordinate showroom maintenance projects with the Showroom Manager and third-party contractors (ex: painting, millwork, flooring, or other facility updates).
Requirements
- Ability to safely lift and carry boxes, samples, and materials weighing 50 lbs or more.
- 70% Standing/Walking | 30% Seated
