Intake Associate

About the Role

Skyland Trail, a nonprofit mental health residential treatment program for adults and adolescents in Atlanta, is seeking an Adolescent Intake Specialist. This role is responsible for answering intake calls, providing excellent customer service, and coordinating the admissions process. The position requires strong organizational skills and the ability to work in a fast-paced environment. The Intake Specialist will organize and maintain all call and assessment records, client and family handbooks, and medical records.

Responsibilities

• Admissions Calls:
  • Serve as the initial point person for calls to be triaged and to start the admissions process.
  • Provide prompt follow-up on all open referrals.
  • Clinically screen calls.
  • Provide information about the program, admissions process, and basic financial information.
  • Offer referral sources when needed.
  • Provide written information about programs to callers who request it.
  • Start the admissions process with clients, families, or referrals.
  • Enter calls into the database.
• Record Collection and Review:
  • Request and review records to determine if a client is appropriate to move forward in the admission process.
  • Gather all written documentation required for new clients prior to admission (e.g., previous records, welcome forms, family questionnaire).
  • Collect all pre-admission testing from clients and families.
  • Communicate and/or consult with clinical staff about potential admissions.
• Scheduling and Tours:
  • Schedule assessments for those interested and appropriate.
  • Schedule and provide tours to clients, families, and professionals interested in viewing the programs.
• Admissions:
  • Enter all intake information into electronic medical records systems prior to admissions.
  • Complete admission paperwork with new admissions and their families.
  • Help Admissions staff prepare for admissions by assembling charts and scheduling necessary appointments for all new residential and day treatment clients.
  • Enter all client schedules into Electronic Medical Records.
  • Enter demographic information into Electronic Medical Records.
  • Scan records.
  • Track sexual offenders and history.
• Backup Duties:
  • Complete Mini International Neuropsychiatric Interview (MINI) and Montreal Cognitive Assessment (MoCA) on all new admissions.
  • Help clients enroll in outpatient services from higher levels of care.
• Meetings:
  • Attend staffing meetings as needed.
  • Attend weekly Admissions meetings.
  • Attend weekly clinical supervision.
  • Attend quarterly All Staff Meetings.
• Perform other duties as assigned.

About the Program

The Skyland Trail adolescent treatment program treats teens ages 14 to 17 with a mood or anxiety disorder. A typical length of stay for adolescents at the residential level of care is about 12 weeks. Many clients continue treatment at the day treatment level of care. Though struggling with their mental illness, Skyland Trail patients have entered treatment voluntarily, and clients and their families are engaged in their treatment program.

Skyland Trail campuses include gardens, private patient rooms, and common rooms that provide a therapeutic, healing environment for clients and families. Clients participate in individual and group therapy as well as daily academic services to maintain progress toward graduation. A key philosophy at Skyland Trail is that we expect our clients to get better. We help teens identify their own goals for their future and develop the skills needed to pursue those goals in healthy and effective ways.

The Skyland Trail adolescent treatment program is an evidence-based treatment program that has earned The Joint Commission gold seal of approval since 2020.
