Responsibilities
- Coordinate with Installation and Service Technicians and/or vendors to maximize completions, minimize days out, and meet customers' schedules.
- Report on the status of service to the sales department and managers, including daily entry of previous day’s notes.
- Coordinate with the shop manager and shipping coordinator on paperwork and manufacturing, staging, or delivery of material for next-day scheduled services.
- Maintain a database on service requests.
- Maintain past-due service part orders and invoice material as needed.
- Coordinate with Buyers for the ordering of parts.
- Arrange for outside service contractors as necessary to keep completions at reasonable levels.
- Work with others, internally and externally, to deliver products and services on time and complete.
- Identify and communicate barriers that prevent achieving results.
- Train another associate to back up this position during vacations, illness, or other absences.
- Submit, track, and reconcile reimbursements from vendors for parts and labor on warrantable repairs.
- Properly invoice and bill for chargeable/billable service.
- Assist Credit as needed to collect payments.
- Create and update a procedure manual for the department.
- Perform other duties as assigned.
- Comply with all policies and standards.

Requirements
- High School Diploma or GED required.
- 1-3 years of office administration and/or millwork experience preferred.
Skills and Abilities
- Ability to handle interpersonal conflict.
- Strong verbal and written communication skills.
- Ability to pursue collections as needed to meet company goals.
- High confidentiality requirement.
- Computer literate in applicable software and hardware applications.
This position is deemed as a Safety Sensitive position.
