Responsibilities
- Distribute incoming and outgoing order documents via email and printed copies to appropriate departments, customers, and team members
- Maintain, attach, and file order documents within quote (QT) and ship & invoice (SI) systems
- Convert quotes (QT) into acknowledged orders (SI) in Friedman/Frontier
- Audit and maintain order filing systems for accuracy and completeness
- Update, correct, or re-enter orders that contain errors in the system
- Process “add-on” and “hot lot” quotes and convert them into SI orders in coordination with production scheduling
- Process system-generated order acknowledgements upon release
- Resend order quotes and confirmations as needed due to system or delivery errors
- Pull and organize signed orders, ensuring proper attachment to supporting documentation
- Perform daily filing and organization of confirmed orders
Customer & Sales Support
- Provide timely, accurate responses to customer inquiries related to orders, products, and delivery timelines
- Answer incoming calls and support customers with order-related needs
- Partner with Outside Sales Representatives to resolve customer and dealer concerns
- Make outbound calls to customers within your assigned territory to strengthen relationships and support sales efforts
- Collaborate cross-functionally with production, credit, and logistics teams to support order fulfillment
- Identify and report order processing issues or system inefficiencies to IT or via SharePoint
Qualifications
- High school diploma or GED required
- Proficiency with Microsoft Office (Word, Excel, Outlook); ability to navigate computer systems effectively
- Experience with order entry or ERP systems (Friedman/Frontier preferred; training provided)
- Strong organizational skills with the ability to maintain both paper and electronic records
- Excellent written and verbal communication skills
- Detail-oriented with a high level of accuracy
- Knowledge of window and door products, including product lines, configurations, and specifications (preferred)
- Understanding of product lead times, shipping schedules, and order requirements (preferred)
- Ability to work in a fast-paced, collaborative environment
