IME Specialist (32731)
ExamWorks, a provider of Independent Medical Exams (IME) for some of the largest insurance groups, is seeking an IME Specialist to lead our operational billing and collections activity, internally known as Billing and Collections Supervisor. This role focuses on leveraging expertise in insurance claims, specifically in first-party no-fault disability, personal liability injury/third-party auto, and workers’ compensation.
About the role
This position oversees a team of five, providing leadership and direction for daily billing and collections activities. Responsibilities include monitoring timely invoicing, adhering to client expectations, and managing aging accounts while ensuring all collection activity complies with company policies and state/federal guidelines. We utilize Collect-IT to track collection activity and automate email messaging—prior experience with this software is desirable.
The ideal candidate will have prior experience in IMEs, insurance claims, or the medical-legal arena, with exposure to billing or collections and a track record of leading a team. This is a full-time, onsite role located at our Roseland, NJ office, with hours from 8 AM to 5 PM, Monday to Friday.
Responsibilities
- Oversee department staff to ensure systematic, accurate, and timely processing of all invoices and monthly billing reports.
- Provide administrative oversight and direct supervision of billing and collections staff.
- Ensure daily invoicing aligns with company practices and client contract agreements.
- Follow up on provider bills not received in a timely manner to reduce invoicing delays.
- Maintain systematic review of aging accounts over 30 days and initiate client contact for outstanding collections.
- Identify and investigate invoice discrepancies, contacting clients or physicians as needed.
- Research and respond to client inquiries regarding payment issues or invoice discrepancies.
- Escalate unresolved disputes with clients or vendors to upper management.
- Maintain files on billing, accounting, and service legal agreements with national accounts.
- Prepare and provide documentation for audits.
- Ensure confidentiality and security of all financial files.
- Perform clerical duties, including answering phones, filing, scanning, and photocopying.
- Perform other duties as assigned.
Supervisory Responsibilities
- Carry out responsibilities in accordance with company standards, policies, and employment laws.
- Manage and monitor workflow, providing support, training, and techniques to help staff meet department goals.
- Foster positive morale, resolve grievances, and maintain staff harmony.
- Oversee completion and approval of employee timecards and coordinate overtime needs.
- Participate in staffing requirements, including hiring, onboarding, and separation of employees.
- Collaborate with management to create and implement plans to meet department goals and metrics.
- Communicate change effectively and support affected staff.
- Supervise insubordinate staff and initiate coaching or corrective actions as needed.
- Evaluate staff performance, provide feedback, and report concerns or growth opportunities to management.
- Conduct annual performance evaluations.
Requirements
- Minimum of a high school diploma.
- 3 to 5 years of relevant experience.
- Prior experience in IMEs, insurance claims, or the medical-legal arena, with exposure to billing or collections.
- Experience leading a team.
Qualifications
- Proficiency in basic arithmetic (addition, subtraction, multiplication, division) using whole numbers, decimals, fractions, hours, and minutes, including computing rates and percentages.
- Knowledge of multiple software programs, including Great Plains, Microsoft Word, Outlook, Excel, and internet applications.
- Ability to follow instructions accurately and respond to management directions.
- High level of accuracy in preparing and entering financial information.
- Strong communication skills, including conveying information accurately, active listening, and seeking clarification when needed.
