West Virginia University Cancer Institute (WVUCI) is seeking a detail-oriented Administrative Manager to support the development and growth of the WVUCI-wide Cancer Control and Population Science (CCPS) Research Program, one of three research programs integral to WVUCI’s goal of becoming a National Cancer Institute (NCI)-designated cancer center.

About the role

The Administrative Manager will support the Associate Director of Cancer Control and Population Science with research project management and administrative tasks; supervise all CCPS staff; organize and manage all required CCPS meetings, retreats, and seminars; support the Institute Director; and provide strategic leadership and management support to various committees. This position oversees all aspects of program management and research project implementation for specified grants, subcontracts, or other projects; manages day-to-day programming; develops and submits IRB protocols; manages grant application processes, budgets, and progress and continuation reports; and recruits, maintains, and supervises a program team to meet all deliverables. The role involves building relationships and increasing research collaborations with strategic partners, including researchers, community members, public health agencies, health systems, and other academic institutions and cancer centers within the state and across the nation.

Responsibilities

  • Provide strategic and technical expertise to the Associate Director for CCPS and the Institute Director in cancer prevention and control research administration, project planning, and management.
  • Prepare and submit new funding proposals and ensure the continuation of existing programs, grants, and contracts.
  • Develop and manage the strategic plan for the CCPS component of the CCSG competitive application, including progress reports and other information requested by the NCI.
  • Establish and maintain positive working relationships with CCPS Research Program faculty and staff at WVUCI and other U.S. cancer centers.
  • Assist CCPS Research Program members with data collection and analyses for new and ongoing research projects.
  • Provide administrative support (e.g., scheduling, spreadsheet development, data management, project management) to CCPS Research Program members for research grant applications.
  • Collaborate with external partners to promote WVUCI and CCPS research initiatives at state, regional, and national levels.
  • Engage with WVUCI Cancer Biology and Experimental Therapeutics Research Programs to identify inter-programmatic collaboration opportunities.
  • Participate in WVUCI disease-oriented groups to stay informed about clinical trial enrollment and identify collaboration opportunities.
  • Assist with IRB protocol development and submission.
  • Support the development of scientific manuscripts, abstracts, posters, and presentations to disseminate CCPS research findings.
  • Set priorities and goals, identify new approaches, ensure efficient execution within budget constraints, and assess fiscal and resource requirements.
  • Troubleshoot challenges and identify methods for improvement.
  • Manage the design, implementation, and maintenance of data systems and tools for CCPS Research Program documentation.
  • Analyze CCPS Research Program progress, assess strengths and weaknesses, and develop strategies to improve outcomes.
  • Represent WVUCI and/or CPC at state, regional, and national meetings and conferences.
  • Support organizational leadership by providing strategic guidance, coordinating administrative functions, and ensuring seamless execution of management objectives.
  • Coordinate and streamline communication between leadership and various departments to ensure clarity and alignment.
  • Propose and implement solutions to improve operational efficiency and resource management.
  • Recruit, hire, train, and assess performance for all CCPS staff and students.
  • Strategically oversee and manage all CCPS support staff and students to ensure effective performance and alignment with organizational goals.
  • Develop and implement staff training and development programs to enhance skills and productivity.
  • Monitor team performance and provide constructive feedback for continuous improvement.
  • Conduct regular performance evaluations and address areas for growth.
  • Ensure proper delegation of tasks and responsibilities to optimize workflow.
  • Develop and manage a strategic database of CCPS-related NCI-required documentation, including meeting minutes and advisory committee reports.
  • Ensure data accuracy, integrity, and consistency while developing key metrics and performance indicators.
  • Organize and manage logistics for CCPS Research Program meetings, retreats, and seminars, and maintain accurate documentation for the CCSG application.
  • Facilitate communication and partnering efforts between WVUCI Office of Community Outreach and Education, CCPS Research Program members, and other WVUCI Research Programs.
  • Manage budgets, resources, and vendor relationships to deliver high-quality events within financial constraints.
  • Participate in Cancer Prevention and Control (CPC) activities and the implementation of WVUCI’s mission, vision, and strategic plan.
  • Attend statewide initiatives such as Mountains of Hope, community events, and partner collaborations.
  • Function as a member of the CPC staff and participate in staff meetings, required conferences, training seminars, and program meetings.
  • Represent WVUCI and/or CPC at state, regional, and national meetings and conferences.
  • Submit articles, abstracts, and posters to promote programmatic work and outreach of CPC.
  • Seek and apply for additional funding opportunities for WVUCI and CPC projects.
  • Collaborate with other WVUCI and CPC staff and programs to extend the reach of CPC.

Requirements

  • Master’s degree required.
  • Minimum of seven years of experience in project management or health-related research management, including managing complex, multi-year research projects.
  • Proven ability to lead and manage a team, including setting goals, providing guidance, and evaluating performance.
  • CITI certification or ability to complete such certification within six months of hire date.

Skills

  • Knowledge of cancer prevention and control research, priorities, and programs.
  • Knowledge of state, federal, and foundation grant opportunities and experience with research grant writing.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of and experience using research software and databases such as REDCap, Qualtrics, EndNote.
  • Experience using statistical software such as SAS, SPSS, STATA, R.
  • Knowledge of Institutional Review Board (IRB) procedures and ability to develop and submit IRB protocols.
  • Skill in research data management and project management.
  • Skill in financial planning and management of research programs.
  • Skill in organizing resources and establishing priorities.
  • Skill in written and verbal communication, including writing correspondence and preparing reports.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Ability to assist with strategic planning for research program development.
