Responsibilities
- Review sold HVAC projects and verify all job details before installation begins
- Conduct post-sale job walkthroughs to confirm scope, equipment, materials, measurements, and installation requirements
- Create detailed material lists and installation breakdowns for field teams
- Order HVAC equipment, parts, and materials while coordinating delivery schedules and vendor timelines
- Work closely with sales, installation managers, warehouse staff, suppliers, and field technicians to ensure every project is fully prepared for install
- Schedule and coordinate project timelines to maximize installation efficiency and minimize delays
- Identify potential installation challenges before work begins and proactively develop solutions
- Maintain organized project documentation including permits, job notes, equipment records, and change orders
- Support communication between departments to ensure smooth project execution from sale to completion
- Monitor project progress and help ensure installations are completed on time, within scope, and to company quality standards
- Aid in maintaining job profitability by reducing material issues, scheduling conflicts, and costly surprises in the field
- Deliver a high level of customer service while upholding T.F. OBrien's standards for professionalism and quality workmanship
Requirements
- Strong organizational and communication skills
- Ability to multitask and manage multiple active projects in a fast-paced environment
- Mechanically inclined with the ability to learn HVAC systems, equipment, and installation processes
- Comfortable working closely with installers, Sales, technicians, suppliers, and leadership teams
- Detail-oriented with strong problem-solving skills and the ability to stay organized under pressure
- Comfortable using computers, email, scheduling systems, and job documentation software
- Positive attitude, willingness to learn, and strong work ethic
Qualifications
- Prior experience in construction, trades, operations, project coordination, or HVAC is a plus but not required
- Valid drivers license with a clean driving record required
