Human Resources Support Specialist

We are seeking a motivated, organized, and detail-oriented Human Resources Support Specialist to join our HR team. This position is ideal for someone with a strong administrative background or early Human Resources experience who is looking to build a long-term career in HR.
Position Summary
The Human Resources Support Specialist provides administrative and operational support across multiple areas of Human Resources, including recruitment, onboarding, employee support, recordkeeping, and HR systems. Depending on experience, this position may also assist with payroll, benefits administration, compliance, and leave management.
Essential Duties & Responsibilities
- Recruitment & Onboarding
- Post job openings and coordinate recruitment efforts.
- Schedule interviews and communicate with candidates.
- Prepare new hire paperwork and onboarding materials.
- Conduct new hire orientations.
- Set up employee accounts in APS and Relias.
- Human Resources Administration
- Maintain confidential employee personnel files.
- Process employment-related documents and data entry.
- Respond to employee questions regarding HR policies, procedures, and benefits.
- Aid in employment verifications and HR correspondence.
- Maintain accurate HR records and ensure documentation is complete.
- HR Operations (Based on Experience)
- Assist with payroll processing.
- Support employee benefits enrollment and administration.
- Aid in leave administration, including FMLA, CFRA, PDL, and Workers' Compensation.
- Conduct HR compliance audits.
- Prepare reports, HR metrics, and workforce data.
- Provide backup support for other HR team members.
Qualifications
- High school diploma or equivalent.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- High level of professionalism and confidentiality.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong problem-solving skills with the ability to think critically and exercise sound judgment.
- Self-starter who takes initiative, works independently, and follows projects through to completion.
- A caring, compassionate, and approachable demeanor with a genuine desire to support others.
- A high attention to detail with a commitment to accuracy and quality.
Preferred Experience
- Experience with HRIS systems (APS experience is a plus).
- Experience with recruiting, onboarding, payroll, benefits, or leave administration.
- Working knowledge of California employment laws and HR best practices.
