About the role
The Human Resources Assistants function collaboratively to deliver exceptional customer service and administrative support to internal and external customers including applicants, departments, and organizational partners. These roles promote a positive, professional, and service-oriented experience through effective communication, sound judgment, and consistent attention to detail.
Responsibilities
- Processes personnel and payroll-related transactions by accurately maintaining employee personal, position, benefits, and deduction records in the HRIS.
- Serves as a primary payroll contact, resolves record issues prior to processing, maintains employment eligibility documentation, processes Sheriff’s Office evaluations, prepares reports for compliance and department needs, and escalates unique situations or system issues as appropriate.
- Serves as a primary contact for applicants and departments by responding to questions regarding application, testing, and hiring procedures. Guides candidates through the hiring and onboarding process, verifies qualifications, coordinates pre-employment screenings and related communications, and notifies HR leadership of results requiring further review.
- Maintains compliance with hiring policies and procedures, reviews monthly pre-employment screening invoices for accuracy, and greets and directs individuals attending New Employee Orientation.
- Provides access to personnel files in accordance with established procedures and audits offer letters, personnel action forms, voluntary deductions, and information types for accuracy.
- Manages coding requests for job posting descriptions within the recruiting system, responds to requests for hiring information, provides employee pay stubs upon request, and sends scanned documents to Records Management according to protocol.
- Serves as backup support for front desk and mail functions and reviews monthly pre-employment screening vendor invoices to ensure accurate billing.
- Responds to inquiries from internal and external customers and assists with new hire processing, including support during large New Employee Orientation classes.
- Maintains and updates standard operating procedures and training materials, communicates issues and improvement recommendations to the appropriate Director, and supports ERP projects through testing, documentation, and feedback.
- Manages poll worker paperwork and loads, processes Employment Authorization Documents and employee name changes, participates in payroll processing and troubleshooting, enters employee record changes, and provides support across other functional areas as needed.
Requirements
- A high degree of discretion, confidentiality, professionalism, and accountability is essential in handling sensitive Human Resources information, records, and documentation.
- High School diploma or equivalent.
- Two years of experience in data entry, processing or customer service.
- One year of experience in a professional Human Resources or Payroll Department.
- One year of experience working with highly confidential information.

- Strong proficiency with HR technology systems, data entry, electronic records management, and standard business software.

Schedule
Monday - Thursday 8:00 am to 5:00 pm & Friday 8:00 am to 3:00 pm
