About the Role

Under the general supervision of the Manager, Employment and Onboarding, the Human Resource Onboarding Assistant acts as a liaison between the HR department and employees. This role responds to internal and external HR-related inquiries, screens and triages visitors, and facilitates onboarding processes. As the initial contact for the HR department, the assistant ensures superior customer service and represents professionalism in all interactions. The role also provides general administrative support, including pre-employment clearances, background and reference checks, scheduling and reminders for pre-employment physicals, HRIS data entry, drafting communications, and collecting and filing documents.

Responsibilities

  • Serve as the initial contact for the HR department, providing superior customer service.
  • Respond to internal and external HR-related inquiries and requests.
  • Screen and triage visitors to the HR department.
  • Facilitate onboarding processes for new employees.
  • Conduct pre-employment process clearances, including background and reference checks.
  • Schedule and send reminders for pre-employment physicals.
  • Perform HRIS system data entry and maintain electronic and hard copy personnel records.
  • Draft and manage HR-related communications.
  • Collect, file, and organize documents in compliance with Joint Commission requirements.
  • Create and maintain office filing systems for efficient retrieval by the HR team.
  • Assist with department-led activities as required.

Requirements

  • Excellent verbal, interpersonal, and written communication skills.
  • Proficiency in Microsoft Office, including MS Excel; PeopleSoft preferred.
  • Ability to multi-task, handle sensitive information, and manage time, projects, and deadlines efficiently.
  • High level of accuracy and attention to detail.
  • Strong organizational skills and ability to prioritize workload in a fast-paced environment with frequent interruptions.

Qualifications

  • High school diploma or equivalent (required).
  • Bachelor’s degree (preferred).
  • One to two years of previous Human Resources Department experience (preferred).

Pay

The minimum rate for this position is $19.00 per hour. The final rate of pay will be determined based on the candidate's relevant experience, qualifications, and skills. This rate does not include bonuses, incentives, differential pay, or other forms of compensation.
