Human Resources Assistant
About the role
Fort Myers Broadcasting Company is seeking a motivated, adaptable, coachable, forward-thinking, enthusiastic, organized, and detail-oriented Human Resources Assistant to support the Human Resources, Accounting, and administrative departments. This is an excellent opportunity for an individual who enjoys working in a fast-paced, collaborative environment and is interested in developing a broad understanding of Human Resources and business operations.
Responsibilities
- Provide day-to-day administrative support to the Human Resources department and assist with HR projects as needed
- Assist with the new hire onboarding process, including filing new hire paperwork, requesting resources and required documentation, and tracking process
- Coordinate with HR and IT to ensure new employees have the appropriate equipment, systems access, accounts, and other resources needed to begin employment successfully
- Assist with planning and coordinating New Hire Orientation, including preparing materials and set-up
- Complete and assist with Form I-9 processes and maintain required employment documentation
- Update and maintain employee digital files and personnel records
- Conduct employee file audits and assist with updating required compliance-related documentation
- Scan, organize, file, and maintain confidential employee records in accordance with company procedures
- Assist with Benefits Open Enrollment activities and other employee benefits-related projects
- Assist with employee engagement activities, HR initiatives, and special projects as needed
- Assist with the recruiting and hiring process, including posting job openings and maintaining job postings
- Assist with reviewing applications, coordinating interviews, communicating with candidates, and tracking candidate activity
- Maintain recruiting records and assist with tracking job fairs, recruiting events, and staffing agencies
- Assist with job fair and recruitment event coordination and preparation
- Assist with the Applicant Tracking System (ATS) and other recruiting-related systems
- Provide administrative support to HR, Accounting, and other departments as needed
- Assist with company travel arrangements, including booking flights, hotels, rental cars, and other travel-related accommodations
- Assist with spreadsheets, data entry, reports, correspondence, and other administrative tasks
- Perform scanning, copying, filing, emailing, and other general office duties
- Assist with maintaining organized electronic and paper records
- Support special projects and other duties as assigned
Requirements
- Previous experience in Human Resources, recruiting, office administration, or a related field preferred
- Bachelor's degree, or relevant coursework in Human Resources, Business Administration, or a related field preferred; equivalent experience may be considered
- Strong organizational skills with excellent attention to detail and follow-through
- Highly adaptable with the ability to prioritize and manage multiple tasks in a fast-paced environment
- Motivated, enthusiastic, coachable, and eager to learn
- Forward-thinking and proactive with the ability to identify and address administrative needs
- Excellent written and verbal communication skills
- Professional interpersonal skills with the ability to interact effectively with employees, candidates, managers, and individuals at all levels of the organization
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint and Outlook
- Ability and willingness to learn and effectively use HRIS, ATS, and other company systems
- Strong customer-service mindset and a positive, team-oriented attitude
- Ability to work independently while also contributing effectively as part of a team
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Ability to lift and carry up to 15 pounds, such as file boxes and office supplies
- Ability to bend, reach, and carry files and office materials as needed
- Manual dexterity to operate standard office equipment, including scanners, copiers, printers, and computers
- Ability to move throughout the office and access filing and storage areas as needed
Work Environment
This position operates in a professional, fast-paced office environment and requires regular interaction with employees, candidates, managers, and other departments. The successful candidate must be comfortable managing changing priorities while maintaining accuracy, professionalism, confidentiality, and a positive attitude.
