About the role
This position works under the supervision of the Human Resources Director and provides administrative support to the Human Resources Department. The role includes answering frequently asked questions, processing accounts payable, preparing reports, maintaining confidential files, and coordinating various departmental activities.
Responsibilities
- Answers frequently asked questions from applicants and employees.
- Screens applicants and manages the online applicant tracking system.
- Prepares and maintains records, prepares reports, and handles confidential information.
- Processes accounts payable, orders supplies, and pays invoices.
- Assists with the hiring and on-boarding process, prepares personnel files, and provides administrative support.
- Participates in recruiting activities, including advertising, job fairs, and candidate development activities.
- Processes mail, prepares correspondence, tracks department budget, and coordinates special events.
- Performs periodic audits of human resource files and records.
- Facilitates the delivery of training and coordinates the new hire on-boarding process.
- Maintains the integrity and confidentiality of human resource information.
Requirements
- Education and Experience:
- Associate’s degree in Human Resources, Business Administration, or related field and 2 years of administrative support experience dealing with personnel administration, human resources, and labor relations or a closely related industry.
- High School diploma and 5 years of administrative support experience dealing with personnel administration, human resources, and labor relations or a closely related industry.
- HRIS Software Experience:
- Extensive knowledge of Microsoft Office products and HRIS software is preferred.
- Other Requirements:
- Demonstrates effective communication skills.

Working Conditions
- Indoor environment.
- No exposure to prominent lights, noises, odors, temperatures, or weather conditions.

- Requires continuous stamina in sitting, twisting, bending, pushing, pulling, reaching, grasping, handling, and typing, enduring repetitive movements of the wrists, hands or fingers.
- Primarily requires close visual acuity to perform tasks within arm's reach such as: viewing a computer screen, using measurement devices, inspecting and assembling parts, etc.
- Requires the ability to communicate and respond to inquiries both in person and over the phone.
- Requires the ability to operate a PC/laptop and to enter & retrieve information from a computer.
- Requires the ability to handle varying and often high levels of stress.
