About the Role

Under the direct supervision of the Chief Human Resources Officer, the Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department. The successful candidate will assist with the hiring process, schedule new employees for training, and enter a high volume of employment records into our human resource information system (HRIS).

Responsibilities

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees regarding standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department.
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
  • Conducts or assists with new hire training.
  • Performs data entry into the HRIS.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Cultivates positive relationships with staff.
  • Ensures a safe, clean, and welcoming environment for all youth, staff, and visitors by consistently enforcing safety protocols and organizational policies.
  • Conducts regular safety inspections and promptly addresses any potential hazards or maintenance needs.
  • Participates in safety drills and contributes to ongoing risk assessment and emergency preparedness efforts.
  • Collaborates with leadership to implement and improve safety and wellness policies and procedures across the Club.
  • Performs other duties as assigned.

Requirements

  • Must be 18 years of age with a High School diploma or GED; some college experience or a combination of knowledge and experience.
  • Minimum of one (1) year of administrative experience required.
  • Excellent verbal and written communication skills.
  • Proficient computer skills – Microsoft Office Suite, email, internet research, social media navigation.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
  • Prior related office experience preferred.
  • CPR and First Aid Certifications preferred.
  • Prolonged periods of sitting at a desk and working on a computer.

Special Conditions of Employment

  • Successful completion of pre-employment background check.
  • Maintains compliance with the organization's drug-free workplace policy.
  • Valid Driver’s license and verification of insurance.
  • Occasional weekends and evenings in support of fundraising events, committee meetings, trainings, and activities.
  • CPR & First Aid Certification.
