About the role

The People Relations Administrative Assistant supports the human resources and administrative departments, focusing on HR record keeping, compliance tracking, training coordination, and front desk coverage. This role serves as a key point of contact for staff, clients, and external partners, ensuring accurate personnel records, timely processing of HR documentation, and smooth day-to-day office operations.

Qualifications

  • High school diploma or GED required.
  • Associate degree in business, human resources, or a related field preferred.
  • One year of experience in human resources or administrative support preferred.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word) and multi-line telephone / VoIP systems.
  • Attention to detail, accuracy, and timeliness are required.
  • Strong organizational skills; ability to manage multiple tasks, follow up on work in various stages of completion, and meet deadlines.
  • Able to communicate ideas clearly in oral and written form.
  • Must be able to interact with clients, employees, and the public in a pleasant, positive, and professional manner.
  • Able to work with cultural and ethnic diversity.
  • Able to work in a harmonious manner with subordinates, supervisors, and others.
  • Protect and honor individual integrity through confidentiality.
  • Bilingual in Spanish preferred.
  • A valid California driver’s license is required of staff who have regular driving duties; the driving record must meet the requirements of the position and be approved by the agency’s insurance company.

Essential Job Functions

  • Operate an agency or personal vehicle for work-related activities which may include, client visits, meetings, trainings, or other agency-related appointments.
  • Ensure compliance with driving requirements, including maintaining a valid driver’s license, current vehicle registration, and proof of insurance as required by agency policy.
  • Must be able to interact with clients, employees, and the public in a pleasant, positive and professional manner.

  • Able to work in a harmonious manner with subordinates, supervisors, and others.
  • Able to operate a multi-line telephone and voice over internet protocol (VoIP).

Responsibilities

  • Provide administrative support to the human resources department and administration office, including greeting and assisting employees and visitors, answering phones, filing, document preparation, maintaining records, meeting preparation, taking meeting notes, and scheduling appointments.
  • Serve as the point person for the front desk, including but not limited to managing mail, ordering office supplies and equipment, and running errands as needed.
  • Provide back-up support for the People Relations team.
  • Demonstrate basic knowledge of all programs within the agency to sufficiently navigate internal and external inquiries.
  • Monitor, collect, and upload required certifications and documents for processing to One Point HRIS system.
  • Track and manage renewable events such as staff licenses, certifications, TB screenings, and related compliance items.
  • Cook up logistics for New Employee Orientation, including scheduling, materials, and onboarding support.
  • Manage agency supply ordering and inventory for office equipment and supplies.
  • Manage livescan rolling, record keeping, and maintenance for staff clearances.
  • Process employment verifications in a timely and confidential manner.
  • Track and manage renewable events such as staff licenses, certifications, TB screenings, and related compliance items.
  • File and maintain compliant personnel files, including electronic files.
  • Prepare and submit reporting for DMV, board reports, and other regulatory or agency reporting requirements.
  • Support employee onboarding to include assistance with livescan verification, badge creation, and key distribution.
  • Support offboarding by collecting equipment, keys, badge and any items needed to be returned to the agency.
  • Provide project management support for People Relations and administration.
  • Support internal and external audits by gathering, organizing, and providing staff records and related documentation as requested.
  • Responsible for preventing and controlling infection.
  • Responsible for maintaining a culture of quality and safety.
  • Effectively use de-escalation skills and techniques for crisis prevention.
  • Properly administer the C-SSRS to help prevent suicide.

Base Salary: $25.03-$30.04/hour
