Position Summary
The Human Resources Assistant is a temporary, three-month contract position responsible for supporting the organization's HR records management and compliance initiatives.
Essential Responsibilities
- Conduct a detailed audit of employee personnel files and Form I-9 documentation maintained in paper format.
- Review records for completeness, accuracy, and compliance with company policies and applicable regulations.
- Identify and separate documents requiring retention, digitization, or destruction based on established records management guidelines.
- Scan and digitize employee records and upload documentation into designated electronic filing systems.
- Organize and index electronic records to ensure accurate retrieval and recordkeeping.
- Verify that personnel and I-9 files are properly maintained and stored according to established procedures.
- Prepare and maintain tracking logs related to file audits, document retention, and destruction activities.
- Cooky destruction of records approved for disposal while maintaining appropriate documentation.
- Maintain strict confidentiality when handling sensitive employee and company information.
- Partner with the HRIS Director to identify discrepancies, missing documentation, and opportunities for process improvement.
- Support additional HR administrative projects as assigned during the contract period.
Qualifications
- High school diploma or equivalent required; Associate's degree preferred.
- Prior administrative, records management, human resources, or office support experience.
- Strong attention to detail and organizational skills.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
- Ability to work independently and manage multiple priorities within established deadlines.
Preferred Qualifications
- At least 1 year past clerical or administrative experience.
- Previous experience working with employee personnel files or HR documentation.
- Knowledge of Form I-9 documentation and record retention requirements.
- Experience with document scanning, electronic file management, or HR systems.

Physical Requirements
- Ability to work on-site in the Princeton, NJ office for the duration of the assignment.
- Ability to lift and move file boxes weighing up to 25 pounds.
- Ability to sit, stand, bend, and access filing cabinets and storage areas as needed.
Employment Details
- This is a temporary, part-time contract position expected to last approximately two months.
- The position is fully on-site at the Princeton Junction, New Jersey office.
- Schedule can have some schedule flexibility but must be within 8:00 AM – 5:00 PM Monday-Friday business hours.
