About the Role

Serves as the primary point of contact for MyMichigan Health System leaders and employees to answer questions and resolve moderately complex to difficult issues related to Payroll, Benefits, Compensation, Pension, Employee Relations, Education, Unemployment, Leave of Absence, and Human Resource policies and procedures with minimal guidance from the MyHR Service Center Manager. Acts as an internal consultant by analyzing and recommending solutions to human resources issues within assigned program or section areas. Advises management on the formulation and administration of human resource plans and policies, ensuring compliance with established policies and procedures.

This position may have a primary focus on the entire onboarding process for all new hires, from process improvement to execution, acting as a liaison between the new hire, recruitment, and the organization to ensure a smooth and welcoming onboarding experience.

Responsibilities

  • Maintains personnel files (electronic and physical) in compliance with applicable legal requirements and processes employee transactions (status changes, record changes, rate changes) in a timely manner.
  • Ensures pre-employment checks and processes are completed in accordance with the Employment Screening Policy, Federal, and State Law.
  • Conducts onboarding gap analysis to identify opportunities for improvement and ensure legal/policy compliance.
  • Maintains knowledge of approved positions and assigned salary grade levels.
  • Facilitates and conducts all onboarding activities, ensuring their proper and timely completion, and manages the pre-employment process from acceptance to start date.
  • Keeps recruiters and other stakeholders informed of new hires' status.
  • Resolves employee questions via telephone or email with a goal of resolving issues at first contact; triages complex questions to Human Resources Strategic Partners or Center of Excellence team members.
  • Documents the nature and resolution of contacts using technology.
  • Resolves onboarding issues with a high level of customer service and communicates concerns to recruiters or recruitment managers as needed.
  • Researches and recommends improvements to enhance the new hire experience and reduce turnover.
  • Collaborates with recruiters to identify recruitment and onboarding opportunities to reduce 90-day and first-year turnover.
  • Operates Inventory Control Software, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), FileNet, IBM Content Navigator, Avaya, CMS, Infor Talent Management, Infor Talent Acquisition, Infor (S3), and DameWare.
  • Types proposals, letters, and miscellaneous correspondence; maintains detailed files for documentation.
  • Processes daily mail and drop box distribution, benefit corrections, and wage changes into Infor; initiates check/retro payment requests as required.
  • Analyzes, audits, and reconciles various deductions and earnings, including commissions, bonuses, 403b, and taxes.
  • Educates employees on company practices and tools such as the MyMichigan Health Website and self-service portals to reduce call volume.
  • Develops and recommends revisions to HR-related policies, process flows, and procedures.
  • Compiles and reports on HR-related metrics and analyzes trends.
  • Partners with recruiters, education, HRIS, Employee Health & Wellness, Labor Relations, and other departments to improve onboarding efficiencies.
  • Schedules interviews and coordinates rooms as needed; assists in special projects and performs other HR tasks as assigned.

Requirements

  • Minimum of three years of professional-level experience in Human Resources or a customer service-related role.
  • Extensive knowledge of computer software, with demonstrated proficiency in Microsoft Office Suite, especially Excel.
  • Working knowledge of multiple human resource disciplines, including compensation practices, organizational diagnosis, employee and union relations, diversity, performance management, and federal/state employment laws.
  • Ability to manage multiple conflicting priorities across multiple business units and locations.
  • Strong analytical skills to conduct research, interpret data, and propose solutions.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Excellent spelling, grammar, written, and oral communication skills.
  • Strong customer service orientation and ability to comprehend and interpret instructions.
  • Knowledge of office administration procedures and ability to operate standard office equipment.

Qualifications

  • Bachelor’s degree in a business-related field or equivalent study required within one year of hire or transfer date (grandfathered exception for current employees in this role prior to 10/01/2017).
  • PHR (Professional in Human Resources) or SPHR (Senior Professional in Human Resources) certification preferred.
  • One year of experience in a healthcare setting is preferred.

  • Frequent sitting, standing, and walking for long periods; may require postural changes such as stooping, kneeling, or crouching.
  • Exposure to bloodborne pathogens and potentially infectious materials; must comply with MyMichigan Health’s bloodborne pathogen and TB testing requirements.
  • Ability to handle multiple tasks, work independently, maintain regular attendance, and stay awake.
  • Dexterity for handling, reaching, grasping, and typing; may require repetition of these movements.
  • Light physical demand: occasionally lifts or carries 11-20 lbs., frequently lifts 10 lbs., and performs tasks involving walking, standing, pushing, or pulling arm/leg controls.
