Job Overview
The HR Operations Representative serves as a first point-of-contact in Human Resources for current and/or former team members. This position is responsible for logging and responding to HR inquiries through email, phone, voicemail and in person visits; and leveraging technology and systems to:
- provide an exceptional customer service experience
- promote and encourage employee self-service
- respond to inquiries not resolved through team member self-service.
Key Responsibilities
Maintains confidentiality and privacy.
- Monitors HR Services mailboxes, voicemails, calls, and mail and respond to and redirect inquires as appropriate.
- Logs all inquiries that HR Operations team works on in case management system.
- Aids team members with accessing and utilizing self-service items (i.e., electronic pay statements and reset passwords).
- Refers team members to HR self-service technology, outside vendors, or other resources as appropriate.
- Sends out necessary benefit/payroll communication as directed (i.e., benefit enrollment and dependent audit reminder notifications).
- Aid with maintaining department electronic and paper files.
- Maintain office supplies, reordering as needed to ensure HR Services needs are met.
- Regularly handles difficult conversations with internal and external customers tactfully.
- Actively seeks to improve processes within HR Services.
Job Requirements
- Bachelor's degree in Human Resources or a related field OR high school diploma and 2+ years of direct experience working in benefits administration, payroll, compensation or as a HR Generalist.
- Experience with customer service delivery for diverse populations.
- Experience with MS Office/Microsoft 365 products specifically Word, Excel, Teams and Outlook.
- Excellent verbal and written communication skills with all levels of Human Resources, leaders, and team members.
- Demonstrated commitment to high quality of work and excellent customer service.
- Ability to work independently and manage multiple priorities.
- Attention to detail and accuracy.
