About the Role

We have an exciting opportunity to join our team as a HR Client Solutions Associate. In this role, the successful candidate will provide HR services and solutions support for assigned activities, with a focus on high-quality customer support/counsel, accurate and timely support of HR transactions, and proactive data analysis to foster and promote a positive employee experience.

Responsibilities

  • Provides support and counsel to all employees and managers regarding HR services and solutions, including Health and Welfare, Retirement, Statutory Benefits, Absence and Leave Management, Time Off Plans, Employee/Manager Self Service, Focus performance, pre-boarding, general HR, and other components of the employee life cycle.
  • Uses HR colleagues, other Medical Center departments, internal/external vendors, and systems to address the needs of HR customers.
  • Implements continuous improvement projects, including process, procedure, and knowledge documentation to enhance support delivery.
  • Surfaces process improvement ideas based on interactions and inquiries handled.
  • Addresses inquiries (email, phone, or walk-in) in a pleasant and courteous manner, answering routine inquiries professionally and referring non-routine inquiries to appropriate HR colleagues.
  • Maintains an accurate log of all assigned tasks and inquiries using the Knowledge Base System, documenting cases and solutions, and uploading documentation to the OnBase system as necessary.
  • Participates in special projects, ensuring timely completion of assigned tasks and regular status reporting.
  • Handles FGP acquisitions processing/onboarding, triaging and escalating issues for benefits, MSS Support, and coordinating with HRIT and MCIT.
  • Manages nursing inter-boarding: auditing travel nurse files, creating tickets for new hire RNs and travel nurses for Epic training, and coordinating with education and ODL.
  • Troubleshoots and researches root causes of employee data issues, developing recommended remediation strategies.
  • Manages inter-boarding tasks: sending ID lists to security and answering questions from managers and new hires.
  • Reviews and processes HR services and solutions transactions (MSS, ESS, and Benefit enrollment), ensuring accuracy, completeness, and appropriate approvals.
  • Conducts onboarding tasks: reviewing background check results, meeting new hires for processing, completing I-9 forms, taking new hire pictures, scanning/uploading documents into RedCarpet, and ensuring compliance.
  • Provides one-on-one, on-the-spot, and scheduled group trainings for HR services and solutions processes.
  • Handles pre-boarding tasks: scheduling new hire visits, entering appointments into Epic & RedCarpet, coordinating with immigration if necessary, initiating background checks, and verifying education and certifications.
  • Supports general email/phone lines for HR services and solutions activities, assisting employees and managers with questions and providing training.
  • Posts to SilkRoad, runs the union report daily, sends weekly SFS postings, and distributes RN and NP weekly job postings.

Requirements

  • Two or more years of college and one year of related professional experience, such as HR or administrative operations.
  • Excellent collaboration, interpersonal, and communication skills.
  • Customer-focused ability with an emphasis on the employee/customer experience.
  • Adaptable to new situations in a rapidly changing, dynamic environment.
  • Detail-oriented with strong data entry skills, demonstrating accuracy and attention to detail.
  • Proficient in Microsoft Office applications.
  • Ability to work well in a team environment, valuing differing perspectives.
  • Capability to solve problems in a timely manner and take initiative to improve processes and programs.
  • Ability to handle multiple requests efficiently.
  • General analytical and problem-solving skills, knowing when to escalate issues.
  • Demonstrated ability to handle confidential information and maintain objectivity under pressure.
  • Effective communication with all levels of the organization.
