About the role
Supports the HR Department with a variety of HR administrative duties, including office support, front desk administration, and other clerical tasks. Serves as the primary backup for other HR assistants and the front desk.
Responsibilities
- Primary backup coverage for the front desk during lunch breaks and time off, including answering phones, processing mail, greeting visitors, and maintaining conference rooms.
- Serve as the HR Recruiter, collaborating with hiring managers to understand job requirements, future hiring needs, and candidate tracking.
- Assist with updating job descriptions, posting and closing job openings, and conducting phone interviews as needed.
- Schedule interviews and coordinate communication between candidates and hiring managers.
- Communicate with new hires, manage onboarding, and ensure all onboarding documents are completed accurately.
- Participate in job fairs, including setup/breakdown, interacting with potential candidates, and coordinating with event employees.
- Assist with auditing and maintaining employee records, conducting background checks, and verifying social security numbers and employee changes.
- Prepare and maintain reports such as hiring sources, turnover, certifications, etc., for each location.
- Assist in reviewing, auditing, and approving timecards for the bi-weekly payroll cycle.
- Review and retain safety committee meeting records for each location.
- Perform other HR administrative tasks when other HR assistants are absent.
- Other duties as assigned by the Director of Human Resources.
Requirements
- Proven background in an office administrative environment.
- Previous payroll and HR office administrative experience is highly preferred.
- Experience handling confidential and sensitive information with discretion.
- Strong written and verbal communication skills.
- Proficiency in office email systems, MS Word, Excel, and other computer-based software.
Qualifications
- High school graduate or equivalent.
Other Requirements
This role involves handling a high degree of confidential information and requires accuracy in calculations, reporting, and processing. Must maintain strict confidentiality and only share information with senior management. Open communication with the Director of HR and ownership is required.
