About the role

The Hospital Manager at PetVet Care Centers is responsible for overseeing the staff within all hospital support departments, ensuring labor goals are met. This role also involves hiring and training staff, managing schedules, monitoring budgets, and maintaining compliance with regulatory requirements.

Responsibilities

  • Supervise staff in all hospital support departments
  • Achieve and maintain labor goals
  • Hire and train office and technical clinic support staff
  • Orient and train new clinic staff
  • Review work performance, provide feedback, resolve personnel issues, and discuss with Regional Manager weekly
  • Conduct timely performance appraisals
  • Document and report accidents; file appropriate reports
  • Write policies/procedures relating to all technical aspects of the hospital and present for approval
  • Manage schedules for technical and administrative staff, coordinate with the PetVet Care Centers support team
  • Monitor workforce management, handle missed punches and overtime hours daily
  • Administer daily operations
  • Work with the PetVet Care Centers support team to ensure compliance with all administrative responsibilities
  • Manage budgets, purchase equipment and supplies, oversee facility maintenance
  • Submit contract veterinarian invoices, local vendor invoices, ensure invoice accuracy, obtain W9s from local vendors
  • Assist in resolving issues with pet owners
  • Review revenue, labor, and employee issues with PetVet leadership on a weekly conference call
  • Ensure daily financial information is accurate
  • Oversee inventory management and ensure proper documentation and systems are in place
  • May establish and oversee billing practices; review and maintain the accuracy of billing and oversee charge capturing
  • May be responsible for contracts or negotiations with insurance providers
  • Maintain compliance of current licensure and display same
  • Maintain updated licenses for DVMs
  • Perform other duties and responsibilities as assigned by the Manager

Qualifications

  • Applicants must be 18 years of age or older
  • Bachelor’s degree in business, health science or related field strongly preferred
  • Five years of direct office management experience, including at least two years of supervisory experience required
  • May consider an equivalent combination of education, certification, training, and/or experience
  • Ability to provide customer service in a courteous, prompt, and efficient manner
  • Computer proficiency in using Microsoft Office products (Word, Outlook, and Excel)
  • Establish and maintain productive and cooperative working relationships
  • Active time management and organizational skills to complete work promptly
  • Excellent communications skills both orally and in writing
  • Flexible with scheduling and able to work some weekends and holidays
  • Ability to work with or around sick animals, potentially hazardous materials, cleaning chemicals, gas anesthetics, zoonotic diseases, and unpleasant odors
  • Depending on the functional area of assignment, tasks may involve extended periods at a keyboard or workstation and/or extended periods standing and/or walking
  • May include some climbing, balancing, stooping, kneeling, crouching, or crawling
  • Some tasks involve the periodic performance of moderately physically demanding work, usually involving lifting or carrying moderately heavy animals (up to 50 pounds)

Preferred Skills

  • Certified Veterinary Practice Manager (CVPM) or Master of Healthcare Administration (MHA) preferred
  • Strong analytical skills for financial analysis

  • Decision-making skills to solve problems and make good decisions
  • Effective communication skills both orally and in writing
