We are a growing HVAC company looking for a detail-oriented Home Warranty Service Coordinator to support our service team by managing home warranty claims and repair workflows from diagnosis through completion.
About the role
This is a great opportunity for someone who enjoys solving problems, staying organized, and keeping customers informed throughout the repair process. You’ll take ownership of service jobs after a technician completes a diagnosis, ensuring approvals are secured, parts are ordered, repairs are scheduled, and customers receive timely updates every step of the way.
Responsibilities
- Review technician notes and repair recommendations following service calls.
- Submit claims, estimates, and supporting documentation to home warranty providers.
- Follow up on pending approvals and authorizations to keep jobs moving forward.
- Communicate with customers regarding claim status, repair timelines, and next steps.
- Coordinate with technicians, dispatch, and vendors to schedule repairs and order parts.
- Track open jobs from initial diagnosis through completion and closeout.
- Maintain accurate records within company software and warranty portals.
- Monitor aging work orders and proactively address delays.
- Ensure all completed jobs have proper documentation and billing information.
Requirements
- 2+ years of administrative, service coordination, dispatching, warranty, or customer service experience.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong computer skills and experience working with multiple software systems.
- High attention to detail and strong follow-through.
Preferred Experience
- HVAC, plumbing, electrical, construction, property management, insurance claims, or home warranty experience.
- Experience reviewing work orders, technician notes, or repair estimates.
- Scheduling and service coordination experience.
- Parts ordering and vendor communication.
