About the role

Provide and maintain an orderly and efficient office that creates a positive environment for members of the school community and the general public. Support the overall school climate and district vision to ensure a thriving learning environment.

Responsibilities

  • Monitor Aesop daily report and communicate needs to the substitute coordinator and building administration.
  • Maintain daily records of substitutes, leaves, illnesses, and other staff-related data.
  • Orient and assist substitutes with their assigned duties.
  • Maintain staff contact lists, emergency information, phone trees, and assemble emergency procedures for staff in case of closure or other emergencies.
  • Arrange and follow up on work orders for repair of office equipment as necessary.
  • Perform usual office routines and practices including telephone procedures, messages, and copying.
  • Process all requisitions and purchase orders for staff in accordance with the school budget.
  • Support school budgeting and ordering processes.
  • Enter all credit card transactions on the Intellilink card processing system.
  • Post all cash receipts to the accounting system and deposit them to the bank.
  • Run regular budget reports for the building principal and help support district objectives.
  • Assist students and staff with first aid-related items in the absence of the nurse.
  • Assist students and staff on initial contact with their varying needs.
  • Coordinate student activities such as winter sports, swimming, tennis, and after-school programming.
  • Coordinate building and facility usage with staff and custodians.
  • Manage school-specific website communications and events.
  • Sort and distribute all school communications and mail.
  • Create, maintain, and monitor school informational bulletin boards.
  • Assist PTO, parents, and the community with events, questions, and requests.
  • Coordinate student transportation needs and changes with the transportation department.
  • Ensure complete and accurate student registration and update changes in enrollment status in PowerSchool (Student Information System).
  • Ensure completeness and accuracy of student demographic information.
  • Create and maintain student cumulative folders.
  • Maintain student schedules and records.
  • Reconcile student attendance on a daily basis.
  • Process student requests in a timely manner.
  • Other duties as assigned.

Qualifications

  • High school graduation or equivalent.
  • Ability to work with various personality types.
  • Ability to follow and successfully complete written and oral directions.
  • Ability to maintain a high level of confidentiality relating to staff and student information.
  • Ability to communicate clearly and positively with various members of the school community.
  • Strong secretarial skills and office operations including typing, filing, operation of office equipment, phone handling, and working with the public.
  • Computer skills should include working knowledge of Microsoft products and Google Suite, as well as the ability to quickly become proficient with the district student information system and bookkeeping systems.
  • Basic accounting experience is a plus.
  • Sound emotional judgment.
  • Strong organizational skills that enable multitasking and prioritization to meet deadlines.

Physical Demands

  • Vision: (which may be corrected) to read small print; view a computer screen for prolonged periods.
  • Hearing: (which may be corrected) to answer telephones; to tolerate noisy conditions.
  • Speech: to be understood in face-to-face communications; to speak with a level of proficiency and volume to be understood over a telephone.
  • Upper Body Mobility: use hands and fingers to feel, grasp, and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.
  • Lower Body Mobility: bend at waist; stoop; sit for prolonged periods of 1 hour.
  • Strength: to lift, push, pull, and/or carry objects weighing up to 15 pounds occasionally; occasionally lift, push, pull, and/or carry objects weighing up to 25 pounds.
  • Environmental Requirements: encounter constant work interruptions; work cooperatively with others; work independently; work indoors.
  • Mental Requirements: read, write, understand, interpret, and apply information at a moderately complex level; math skills at a high school proficiency level; ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compile, and coordinate information and records; decision-making skills.

Work Environment

  • The noise level is normally low to moderate but may become loud when large groups are together in a room.
  • The employee may be required to move from room to room and maneuver in crowded hallways.
  • Duties are typically performed indoors and occasionally outdoors, such as playground duty or when students are boarding or unloading buses.
  • The employee may be exposed to unpredictable weather conditions.
  • This position is typically performed in a hazard-free, clean, and healthy environment.
