Position Summary
This position is responsible for providing customer service support, receiving and responding to various public inquiries, scheduling appointments, and general customer service duties related to clinic support. Serves as the entry point to the WCCHD Public Health Center (PHC) Clinical Services Division.
Responsibilities
- Answering multiple telephone lines; routing calls to staff including transferring to appropriate divisions
- Maintaining medical records, including immunization records and laboratory results
- Ordering and keeping inventory of supplies
- Screens clients for eligible programs such as Texas Vaccine for Children (TVFC) and the Clinical Services Charity Care Program
- Ensures a positive experience for clients from intake to check-out, working closely with the nursing team
- Completes end of day reports for deposit purposes
- Runs reports of Child Abuse or neglect of children
- Affixes reports, makes copies of client charts, and distributes/solicits client satisfaction surveys
- Orders and restocks office supplies
- Manages incoming and outgoing mail and fax correspondence
- Collects fees for services and creates claims in electronic medical record
- Balances daily payments with reconciliation log and verifies change money daily
- Coordinates courier services for deposit transportation between WCCHD PHCs
- Assists with incoming WCCHD program applications
- Verifies Medicaid coverage through Texas Medicaid Health Partnership (TMHP) site and collects copies of coverage cards when necessary
- Interprets for Spanish speaking clients as needed
- Facilitates translation services for non-English speaking clients
- Provides clients with information on other WCCHD services including Wilco Care, WIC, and other community resources
- Responds to provider and client inquiries concerning WCCHD Clinical Services and other programs and services
- Participates in the office safety plan
- Participates in quarterly meetings and/or trainings
Qualifications
- High School diploma or GED
- Bilingual English/Spanish
- Valid Texas driver's license and access to reliable transportation to all assigned work locations
- Pre-employment controlled substances screening test
