Job Duties
- Serve as the primary point of contact for visiting executives, VIPs, customers, and partners.
- Provide concierge-level service, ensuring a welcoming, professional, and efficient guest experience.
- Cook up guest schedules, meeting logistics, and on-site hospitality services.
- Anticipate guest needs and proactively address issues to maintain a best-in-class experience.
- Maintain composure, discretion, and professionalism in all interactions.
- Represent Wistron with a polished, professional, and well-groomed appearance at all times.
- Arrange and manage flight bookings, hotel accommodations, and travel itineraries for guests and internal stakeholders.
- Cook up guest schedules, meeting logistics, and on-site hospitality services.
- Coordinate ground transportation, including airport transfers and on-site transportation needs.
- Manage car rental reservations, including vehicle selection, timing, billing, and special requirements.
- Liaise with travel vendors and car rental partners to handle reservations, changes, and service issues.
- Ensure travel plans align with company policies while meeting time-sensitive and executive-level expectations.
- Communicate travel confirmations, changes, and logistics clearly and promptly.
- Coordinate scheduling and utilization of company vehicles for guest and business use.
- Track vehicle availability, assignments, and usage.
- Cook up routine maintenance, inspections, and repairs to ensure vehicle safety and reliability.
- Maintain accurate fleet records, including usage logs, service schedules, and compliance documentation.
Qualifications
- Bachelor's degree or equivalent experience preferred.
- 3+ years of experience in guest services, hospitality, executive support, or facilities coordination.
- Proven ability to deliver premium customer service or concierge-level support.
- Strong organizational skills with the ability to multitask and manage competing priorities.
- Exceptional attention to detail and follow-through.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office and scheduling or travel management systems.
- Ability to engage professionally with executives, visitors, and cross-functional teams.
- Calm, composed demeanor in fast-paced or high-pressure environments.
- Consistently maintains a neat, professional appearance suitable for an executive corporate setting.
- Flexibility to support extended hours or urgent requests as business needs require.
